Customer Invoicing

• Maintains a process to ensure product and service sales are appropriately and timely invoiced to customers. Serves as a resource to Customer Service & Shipping to provide input and feedback into their activities that affect the invoicing process.
• Validates credit card payments before releasing orders to allow items to be shipped. Processes credit card payments online for non-WEB Store sales. Handles the credit card aspect of returns originally paid for with a credit card.
• Works with repair orders to ensure overall correctness making / requiring corrections as necessary, and then releasing the order.
• Assists the shipping department with the creation of appropriate documents for overseas shipments that meet country specific requirements.

Posting Payments

• Posts Customer payment remittances by recording ACHs, wires, credit card receipts, and checks on multiple accounts.
• Determines if payment deductions / short pays are valid and have the appropriate authorization. Handles customer payment related write-offs and offsets in accordance with established guidelines.
• Maintains multiple Cash Books for our remittance bank accounts throughout the month and assists with month-end reconciliation of the Cash Books.
• Supports the Credit & Collections Specialist related to skipped / missed customer invoice payments as well as other cross over duties related to posting payments.
• Communicates with customers for receipts that were not accompanied by a remittance advice to determine the proper application of a payment.

Other

• Crossed trained on select activities within credit & collections, employee expense reimbursement, reconciliations etc. to support redundancy within the group.
• Review and support customer's accounts which can include helping to maintaining customer tax exemption, resale, and / or other relevant taxation related documentation. Periodically assisting in re-verification of EU Customer VAT numbers.
• All other duties as assigned.

Minimum Requirements

• Associate's Degree in Business or applicable experience in lieu of education.
• Minimum of 7 years of accounts receivable or similar experience
• Proficient computer skills to including the Microsoft Office Suite (Word, Excel, Outlook), Internet Explorer, previous experience with ERP systems (IFS preferred).
• Required to speak and write English fluently as this is the operating language of Red Lion Controls.
• Demonstrated problem-solving and analytical skills. Ability to pay attention to detail and accuracy.
• Excellent oral and written communication, organizational, analytical, and anticipatory skills to effectively interface with all levels of management and staff, customers and outside business contacts.
• Desire and ability to work in a fast-paced environment and prioritize while multi-tasking.
• Ability to work and function independently in a team environment with a high degree of confidentiality.
