Job Summary

This position manages the daily administrative support operations of the office of Student Life and Engagement, including planning, organizing and managing the administrative staffing resources including (a) serving as a receptionist for the office operations including direct customer service to students, faculty and staff (b) assists with the budget planning and oversight, including purchasing and payroll for student employees and (c) supports program/event management managed by the office. This position will assist in the supervision of student assistant employees (e.g., recruits, hires, trains, manages, oversees time and absence, etc.), serves as the Director's Administrative Assistant (e.g., coordinates Director's schedule and other staff schedules), works on various projects and tasks, and is responsible for many aspects of the budget including planning, oversight and purchasing.

Responsibilities

Responsibilities include, but are not limited to:

Provides direct support to the Director of Student Life and Engagement by planning, organizing, and managing the administrative staffing resources, as well as program/event management:

  • Manages the daily operation of the office, including scheduling appointments.
  • Assists staff with program/event management to include logistical and food reservations.
  • Process paperwork/epar for staff positions.
  • Assists with coordination & record keeping of staff meetings.
  • Maintains adequate copies & forms.
  • Sorts and distributes incoming mail/correspondence to appropriate individuals.
  • Prepares travel and expense statements for employee travel.
  • Maintains internal employee records, including vacation request, hiring documents and other employee information. Coordinates the Director's schedule to ensure efficiency and priorities are met.

Serves as primary receptionist and administrative support for Student Life and Engagement:
  • Greets all guests to the office.
  • Answers the phone, takes messages, transfers phone calls and answers questions.
  • Maintain inventory of office supplies and order when needed.
  • Serve as secondary support for making room reservations and/or communications regarding room reservations.

Assist with marketing and communication efforts of Student Life and Engagement:
  • Assist in the creation and execution of social media campaigns including the scheduling and procurement of content. Coordinates updates and refreshes of all Student Life and Engagement web pages.
  • Receives and appropriately distributes all incoming emails in the shared office email account.

Provides direct supervision for office student assistants including:
  • Recruiting, Hiring, Training (e.g., scheduling, procedures), Supervising, Evaluating and Payroll (e.g., Time & Absence Reporting).
  • Perform all other job-related duties as assigned.


Required Qualifications

Associate's degree from an accredited college or university in a related field and a minimum of three years progressively responsible experience in administrative support positions.

OR

High School Diploma, GED, or equivalent from a recognized State or Federal accrediting organization and six years of progressively responsible experience in administrative support positions.

Preferred Qualifications

Exemplary interpersonal skills and the ability to maintain a professional work environment. Ability to manage multiple projects while supervising student employees, answering phone, and business process.

Knowledge, Skills, & Abilities

Ability to maintain confidentiality. Excellent interpersonal, written, and verbal communication skills. Proficient in Microsoft Office and other computer software/databases. Detail-oriented with strong organizational, prioritization and multi-tasking skills.

Commitment to the development of a student-centered residential campus environment. Depth of understanding of our AU values. Ability to respond to sensitive inquiries. Demonstrated project management skills. Demonstrated team experience. Exhibits professional code of ethics. Proficient in the MS Office Suite. Punctual in all job duties.

Shift/Salary/Benefits

Shift: Days; Monday - Friday

Pay Grade: 10

Salary: $15.00 - Midpoint: $17.03

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position

Motor vehicle reports are required for positions that are required to drive an Augusta University vehicle.

For Faculty Hires: Final candidates will be required to provide proof of completed academic degree(s) as well as post-secondary coursework in the form of original transcript(s). Those candidates trained by a foreign institution will also be required to provide an educational/credential evaluation.

Credit Check
