Umbra Lab, Inc. ("Umbra") is a technology company which builds next-generation space systems. Umbra is launching an unrivaled constellation of space-based radar satellites with synthetic aperture radar (SAR) capabilities, to produce all weather day-night imagery with sub-meter resolution for low cost distribution via an integrated web platform. We are a bold, experienced team of developers, engineers, product specialists, and other professionals working to aggressively expand the state of the art for commercial remote sensing.

Umbra is looking for a talented professional to work closely with a multidisciplinary team as a Part-Time Administrative Assistant position will be primarily engaged in performing administrative functions directly related to the management and general business operations of the company. Administrative tasks constitute over 50% of the performance duties for this position. The ideal candidate for this position is a strong team player who thrives in a collaborative, multidisciplinary setting, and works well with individuals at all levels of the organization. This position additionally requires an individual who is proactive, responsive, and self-motivated, with the ability to anticipate needs and pursue solutions across multiple projects simultaneously.

Key Responsibilities

  • Front desk management (visitors, deliveries, etc.
  • Screening, scheduling, and welcoming visitors; directing them to the relevant office / personnel
  • Set up meetings and meeting room management (scheduling, coffee, room setup and breakdown)
  • Coordinating and managing appointments; coordinating employee events and work-related travel
  • Purchasing office supplies, furniture, and equipment (not IT)
  • Carrying out clerical duties such as answering phone calls, responding to emails, and preparing documents, including office correspondence, memos, resumes, and presentations; admin support as assigned by management / leadership (presentations, etc)
  • Support facilities with vendor management and escorting
  • Identifying and placing lunch / food orders
  • Maintaining kitchen supplies and keeping it stocked
  • Office mail coordination (packing, shipping, distribution)
  • Parking pass management
  • Support operations with new hire physical and logistical set up (desk, badge, parking, etc.)
  • Maintain calendar of duties and record of tasks
  • Provide regular updates to management on tasks and responsibilities
  • Any other operational duties as assigned
Qualifications
  • Minimum 1+ years of professional experience within the past three years involving general technological and administrative abilities
  • Proficiency with Microsoft Office and GSuite (Gmail, Google Calendar, Google Drive) required.
  • Excellent interpersonal and business-level communication skills
  • Highly organized and task oriented, with meticulous attention to detail
  • Consistently demonstrate a high degree of integrity and discretion


Requirements
