Job Overview: We are seeking a highly organized and detail-oriented Administrative Assistant II to provide comprehensive administrative support to our team. The ideal candidate will have strong organizational skills, excellent communication abilities, and proficiency in office software. This role involves managing administrative tasks, coordinating schedules, and facilitating efficient office operations.

RESPONSIBILITIES:

Office Coordination:

  • Manage day-to-day office operations, including organizing and maintaining files, supplies, and equipment.
  • Coordinate office services and maintenance, ensuring a clean and organized workspace.
Calendar Management:
  • Schedule and coordinate meetings, appointments, and events for team members.
  • Manage calendars, send meeting invitations, and handle changes as necessary.
Communication:
  • Act as a primary point of contact for internal and external communications.
  • Answer and direct phone calls, emails, and inquiries to the appropriate personnel.
Document Preparation:
  • Draft, edit, and format documents, presentations, and reports.
  • Proofread materials for accuracy and completeness.
Data Entry and Record Keeping:
  • Enter and maintain accurate data in spreadsheets, databases, and other systems.
  • Keep records and files organized for easy retrieval.
Travel Coordination:
  • Arrange travel itineraries, accommodation, and transportation for team members when necessary.
  • Prepare travel expense reports and ensure compliance with company policies.
Meeting Support:
  • Prepare meeting agendas, materials, and take minutes as required.
  • Coordinate logistics for meetings, conferences, and events.
Administrative Projects:
  • Assist in the coordination and execution of administrative projects as assigned.
  • Contribute to process improvement initiatives to enhance overall efficiency.
Vendor Relations:
  • Communicate with vendors and suppliers to order and maintain office supplies.
  • Assist in managing vendor relationships for various services.
Confidentiality:
  • Handle sensitive information with discretion and maintain confidentiality.
  • Uphold the highest standards of professionalism and integrity.
Qualifications:
  • High school diploma or equivalent; additional administrative certifications or coursework is a plus.
  • Proven experience as an Administrative Assistant or in a similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication abilities.
  • Attention to detail and accuracy in work.
  • Ability to work independently and collaboratively in a team environment.
Preferred Skills:
  • Experience with project management tools or software.
  • Knowledge of office equipment and basic troubleshooting.
  • Familiarity with document collaboration platforms (e.g., Google Workspace, Microsoft 365).
