Administrative Assistant - Cary, NC

We are currently looking for a highly organized personable individual to support our Life Science Group in Cary, NC. This individual will work on a wide variety of job responsibilities supporting multiple project managers as well as executive management and administrative staff in our corporate offices, located in Lenexa, KS. The ideal candidate will have a positive customer focus assisting both internal employees and external clients. We are looking for that candidate that wants to manage the administrative functions between North Carolina and Kansas, acting as the "glue to keep it all together". Responsibilities:

  • Develop client invoices for municipalities and private sector clients:
    • Ensure projects are setup properly in CRM database and client format in Excel/Word
    • Input project billing terms
    • Generate contract documents, reports and letters required in developing invoices
  • Assist Project Managers with project estimates, proposals, and sub consultant contracts by offering editing and accuracy reviews
  • Organize procedures to maintain office efficiency and quality of documents, reports, letters, and specifications.
  • Act as a last point of review for letters and technical reports, offering proofreading expertise in grammar and composition
  • Assist with administration of CRM database, keeping client and employee information current
  • Assist with various tasks as needed including answering phones, scheduling meetings, conference registration coordination, travel arrangement, etc.
  • Coordinate company engagement events for regional office
  • Maintain electronic and hard copy project files, offering organizational expertise for efficiency
  • Track and maintain office supplies
  • Other duties as assigned

Requirements:
  • High School Diploma or GED required
  • 3+ years' experience in professional services organization, preferred
  • Ability to exercise discretion, confidentiality, and good judgement in client interactions
  • Strong basic accounting knowledge
  • Professionalism "Can-Do, Will-Do Whatever it Takes" attitude
  • Proficient use of Microsoft Office Products. Including Excel, Word, and Power Point
  • Desire and ability to learn and acquire proficiency in CRM Software (Deltek Vision)
  • Ability to compose, edit and proofread documents
  • Excellent skills in English and Math are a must
