Job Summary
Reporting to the Director of Human Resources, the HR Administrative Assistant works 20 hours per week and is primarily responsible for maintaining the electronic personnel records management system. They also provide general support for the day-to-day operations of the HR department.
Job Duties
* Maintain digital records by scanning and filing employee records and other HR paperwork (50% or more)
* Perform general clerical tasks such as mail processing, copying, typing, filing, answering telephone, taking messages, etc.
* Maintain employee directory on campus website.
* Maintain calendars and schedule events for HR staff.
* Draft memos and other communications.
* Prepare personnel forms for printing and prepare purchase requisitions.
* Assist with planning and coordinating events, trainings, and meetings hosted by the HR Office.
* Process travel authorizations and claims for the HR team.
* Prepare agendas and take minutes for HR team meetings.
* Assist with revising the HR and Professional Development web pages.
* Assist with data entry, reports, and other projects.
* Assist employees with inquiries regarding NeSCC and TBR policies/procedures, benefits, and general HR information.
* Provide backup support for other HR staff.
* Complete other assignments as directed by supervision.
Minimum Qualifications
* Associate degree from an accredited institution and one year of administrative support experience; or high school diploma (or equivalent) and three years of administrative support experience
Preferred Qualifications
* Human Resources experience
* Native Banner experience
* Experience working in a document management or digital records system
* Event planning experience
* Conversational ability or fluency in a second language.
Knowledge, Skills, and Abilities
* Technology Skills: MS Office suite; videoconferencing software; digital records management systems; general operating systems and data information systems
* Ability to handle confidential records in a responsible manner
* Ability to perform and prioritize a variety of clerical tasks including managing both long-term and short-term requests
* Ability to listen to and understand to address customer questions
* Ability to work effectively in a team environment
