RESPONSIBILITIES

Under the general supervision of the Senior Vice President for Transformation Initiatives (SVPTI), the Administrative Assistant II performs a variety of routine to moderately complex administrative tasks in support of the activities of the Office of the Senior Vice President for Transformation Initiatives. Provides professional customer and public service.

ESSENTIAL JOB FUNCTIONS

  • Serves as the primary or secondary staff member responsible for a variety of secretarial and administrative tasks in support of the Senior Vice President for Transformation Initiatives Office including, but not limited to processing daily mail, updating files and documents, ordering and inventorying of supplies, maintaining records, compiling data, researching information, scheduling meetings and maintaining calendars, copying and filing documents, assembling materials, faxing information, etc.
  • Monitors division budgets; processes expense vouchers and advises the SVPTI regarding budget status.
  • Assists with scheduling meetings and maintaining calendars; fields requests for appointments and meetings.
  • Assists with travel arrangements for the Senior Vice President for Transformation Initiatives, and other members of the Senior Vice President's staff.
  • Anticipates the needs of the Senior Vice President for Transformation Initiatives; assures that the Senior Vice President for Transformation Initiatives has the necessary materials and information for meetings and events; takes and prepares meeting minutes.
  • Manages communications systems to keep the Senior Vice President for Transformation Initiatives organized and in touch at all times.
  • Manages correspondence; receives, review, processes, types, composes and/or submits a variety documents, including routine and confidential correspondence, reports, forms, etc.; develops correspondence that translates ideas into clear, high impact communications.
  • Receives, reviews, processes, types, composes and/or submits a variety of documents, including routine correspondence, requisitions, reports, and create, prepare and assist with presentations.
  • Answers multi-line telephone; provides accurate information to callers; decides which inquiries can be handled directly, which are appropriately addressed by the Senior Vice President for Transformation Initiatives; routes call to the appropriate staff person; receives and routes accurate messages, including faxes, for the Senior Vice President for Transformation Initiatives, and other members of the Senior Vice President for Transformation Initiatives staff.

ADDITIONAL JOB FUNCTIONS

Interacts and communicates with the President, Board of Trustees, department supervisors and employees, co-workers, students, parents, faculty members, vendors, government agencies, and the general public as necessary.

MINIMUM TRAINING AND EXPERIENCE

Requires a Bachelor's degree in business or other relevant field supplemented by two to three years of responsible secretarial and/or administrative experience. Proficiency with Microsoft Office is required. Must be a quick learner with ability to pay strong attention to detail. Needs strong organizational planning, interpersonal verbal and written communication skills. Must be able to determine and act appropriately in emergency situations. A high degree of judgment, tact and professionalism are also necessary.
