Administrative Assistant - Physician Practices- Albany, NY - FT

What you will do:

The Administrative Assistant's primary responsibility is the support of the Office manager and Program Director. The incumbent will perform all job functions in a courteous and professional manner consistent with the mission and goals of St Peter's Health Partners Medical Associates. Confidentiality is of the utmost importance in this role.

Responsibilities:
  • Opens and distributes administrative office mail. Sends, receives and distributes faxes.
  • Creates and maintains files for Office Manager and Program Director.
  • Attends all office and provider meetings Creates minutes from meetings and distributes according to established guidelines.
  • Proactively prepares for meetings by ensuring agendas, minutes and attachments are complete and distributed to all appropriate personnel.
  • Handles catering needs for meetings as assigned.
  • Maintains filing system for administrative office. Purges old documents on an annual basis, creating new files as necessary. Keeps purged files within reach for easy reference. Archives files when appropriate.
  • Coordinates all travel as assigned. This may include transportation reservations, hotel accommodations, and conference registrations assuring that all plans are complete and accurate. Follows-up with distribution of tickets, itinerary and any other appropriate information.
  • Maintains telephone and office contact lists.
  • Prepares and assembles mailings as assigned.
  • Set up meetings and follows up for Resident credentialing, CODA requirements, and interviews as directed.
  • Creates, publishes and distributes Practice schedule, OR schedule, and Resident rotation according to established deadlines.
  • Coordinates advertisements for Practice with Media & communication manager
  • Coordinates ads for Practice sponsored functions.
  • Creates and maintains Physician files.
  • Assists with special projects as assigned
  • Work with Office manager and office Directors in preparation for state and regulatory inspections
  • Perform mandatory in-service of OSHA training. Maintain a clean and safe work environment.
  • Maintain patient confidentiality and adhere to HIPAA regulations.
  • Work cooperatively with all team members to ensure quality at all times.
  • Communicate respectfully and effectively with providers, clinical staff, colleagues, managers and others.
  • Adhere to St Peter's Health Partners Medical Associates Code of Conduct and all other employment guidelines at all times.
  • Participate in available in-services and complete other required training.
  • Perform additional duties as assigned.
