We are seeking a dedicated Administrative Coordinator to join a leading law firm serving clients in Maryland, Virginia, and DC. Job Type: Direct Hire

Location: Fully on site in Bethesda, MD

Compensation: $50K-$60K salary range based upon experience

Job Responsibilities:

  • Provide administrative support to attorneys and legal staff, including managing calendars, scheduling meetings, and arranging travel.
  • Assist with document preparation, proofreading, and editing legal correspondence, briefs, and other materials.
  • Set up client files in our case management software, ensuring accuracy and completeness of information.
  • Assist with marketing responsibilities, including interacting with outside marketing vendors and supporting marketing initiatives as needed.
  • Assist bookkeeper with billing and collections, including generating invoices, tracking payments, and following up on outstanding balances.
  • Maintain electronic and physical filing systems, ensuring accuracy and confidentiality of documents.
  • Answer and direct incoming calls, greet clients and visitors, and manage incoming and outgoing mail.
  • Provide backup support to Receptionist by providing coverage at the front desk as needed.
  • Perform general office tasks such as ordering supplies, coordinating office events, and maintaining office equipment.
Key Qualifications:
  • High school diploma or equivalent; associate or bachelor's degree preferred.
  • Previous administrative experience in a professional environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with legal software (e.g., document management systems) is a plus.
  • Excellent organizational skills with the ability to prioritize tasks and manage time effectively.
  • Excellent communication and interpersonal skills, with a professional demeanor and the ability to interact with clients and colleagues at all levels.
