General Summary/Overview:

Reporting to the Ambulance and Mobile Healthcare Operations Manager(s), the Ambulance Services Scheduling Coordinator plays a crucial role in ensuring the efficient and effective deployment of ambulance and mobile integrated healthcare resources to provide timely and high-quality services to patients and facilities. Under the direction of the Ambulance and Mobile Healthcare Operations Manager(s) the Scheduling Coordinator develops, completes and posts employee schedules, maintains accurate and complete employee schedule records. Coordinates leave of absence, including Medical, Military, Educational, Personal and intermittent. Identifies and resolves staffing issues; effectively communicates information to appropriate staff. Coordinates and identifies coverage for employee absences to ensure sufficient staff and resources are available for patient care on a 24-hour basis. Provides assistance in the development of master schedules, vehicle resource needs, staffing policies and procedures. Interacts professionally, works collaboratively, and effectively communicates across multiple disciplines. Acquires and maintains current knowledge of automated scheduling systems, computer-assisted dispatching systems, data collection and reporting applications and other computer systems. Uses appropriate problem-solving skills.

Principal Duties and Responsibilities:

  • Develop and maintain comprehensive schedules for ambulance and mobile healthcare crews, ensuring adequate coverage for 24/7 operations.
  • Manages time off requests and approves or denies requests based on staffing levels for each day.
  • Tracks number of hours worked each week for team members and ensures hours worked meets policy requirements for each team member.
  • Works directly with communications center staff on a regular basis to complete pairings and employee moves based on business needs.
  • Works daily with operations team to ensure next shifts schedule is set and appropriate employees are notified of any moves that are required.
  • Tracks holiday scheduling and ensures each team member is meeting holiday staffing policy requirements.
  • Reports staffing levels to operations management and human resources to communicate any outstanding needs.
  • Ensure all ambulance shifts are assigned and staffed with appropriate experience, skill level, and certification for each unit.
  • Monitor crew availability and certification expirations to maintain compliance with regulatory requirements.
  • Proactively contacts and works with field team members to set schedule based on business need and team member location.
  • Maintains computerized scheduling system.
  • Stay up to date with industry regulations, labor laws, and compliance standards related to scheduling and emergency medical services.
  • Ensure that scheduling practices adhere to relevant regulations and guidelines.
  • Collaborates with department leadership to collect, analyze, interpret, record and report on all assigned aspects of the business operations.
  • Responsible for establishing and maintaining strong professional relationships with team members.
  • Provides excellent customer service and communication to patients, facilities, and corporate departments.
  • Keeps well-informed of legislative and regulatory developments, new administrative techniques, and current issues through a commitment to continuous personal and professional development and quality improvement. Instills an awareness of customer service throughout the team.
  • Treats all information and data within the scope of the position with appropriate confidentiality, including maintaining all policies and practices to protect PHI data and follow HIPAA guidelines.
  • Other duties as assigned.

Qualifications:
  • High school diploma or equivalent; prior experience in emergency medical services (EMS), EMS dispatch, or EMS service scheduling is preferred.
  • Experience with scheduling software is preferred.
  • Excellent communication and interpersonal abilities.
  • Strong computer skills and demonstrated experience with Microsoft Excel.
  • Proficiency in using scheduling software and other relevant tools.
  • Computer proficiency with working knowledge of Microsoft Office, and ability to learn new software.

  • Ability to successfully communicate (written and spoken) and collaborate with others of different skill sets, backgrounds, and levels within and external to the organization. Ability to present facts and analyses to leadership. Ability to effectively conduct meetings, both formal and informal.

Supervisory Responsibility:
  • No direct reports.

Fiscal Responsibility:
  • No direct budgetary responsibility
  • Demonstrates fiscal responsibility by effectively using Mass General Brigham resources.

Working Conditions:
  • Remote role. Local travel to Mass General Brigham sites.
  • The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Normal office working conditions. The noise level in the work environment is quiet to moderate.
