Assistant Commercial Property Manager with Yardi Experience We are a commercial real estate property management firm located in the Bend area that continues to grow and take on more properties. As we grow , we need an Assistant property manager to join our team. What You Will Be Doing - Accounts Payable:
- Responsible for the timely review and coding of vendor invoices in P2P
- Resolves vendor billing issues and keeps property management team appropriately aware of any vendor billing matters that may require additional attention.

- Accounts Receivable:
- Responsible for collecting rent payments and making delinquency calls
- Inputs collection effort notes within Yardi
- Tracks delinquent balances, explains payment status, and makes recommendations to Property Manager when applicable
- Prepares special billings and directs accounting to apply one-time reimbursable charges to tenants accounts
- Facilitates late charge billings within approved guidelines
- Performs rent delinquency follow-ups and prepares written notices to tenants for non-compliance with the lease.
- Reviews CAM reconciliations for accuracy and administers year-end or closing adjustments to tenant accounts
- Assists with mid-year and year-end CAM billing notices and explains billings to tenants as needed.
- Performs individual account reconciliations and explains reconciliations to tenants as needed.
- Manages tenant audits, working with tenants and accounting to resolve issues.
- Prepares security deposit refund requests for property manager's approval; when approved, submits the request to accounting and tracks the SD refund and/or application to balances due.
- Tracks the application of rent relief credits when applicable

- Lease Administration
- Reviews and understands leases at each assigned property
- Sends written communication and documentation to tenants for matters including (but not limited to): Lease Commencement, Rent Commencement Date,
Base Rent increases, Annual or mid-year NNN changes , Account Reconciliation , Lease compliance matters
-Assists property manager with preparing and sending memos and tenant notices using various methods of communication, including Commercial Café, email and letters.
- Performs lease research and analysis as needed or when requested.
- Insurance Administration, Tenant & Vendor
- Maintains and updates tenant and vendor contact information in Yardi and any other assigned databases.
- Provides information to attorneys for pay/quit notices when directed to by property manager.
- Operational Duties
- Visits and completes inspection checklist for all assigned properties at least once per quarter.
- Addresses reported building and site deficiencies & prepares appropriate recommendations for property manager review.
- Assists the Property Manager with overseeing 3rd-party vendors work (e.g. janitorial, landscaping, day-porters, trash, window washing, elevators, etc.)
- Inputs work orders and coordinates with 3rd-party vendors or Compass Commercial maintenance team to address issues, follows-up with tenants upon completion to confirm their satisfaction. Updates work orders with 3rd party vendor status, closes work orders upon completion. Tracks status of Compass Commercial assigned work orders to ensure completion.
- Reviews, posts, transmits, and tracks Notices of Non-Responsibility
- Assists the Property Manager with coordination of tenant move-in and move-out walks
- Solicits bids and assists with the preparation of vendor contracts
- Budgeting
- Assists with annual budget process working in conjunction with other property management team members.
- Collects data, updates spreadsheets, inputs budget data and notes, and meets all assigned budget deadlines set by Property Manager.
- Customer Service
- Facilitates and maintains positive relationships with all merchants and tenants, their employees, and customers.
- Rotating contact for after-hours answering service line and fire/burglar alarm response instructions for after-hour emergency calls. Required to respond to after hour calls and on-site issues outside of normal business hours as needed.
What You Need for this Position - 3+ years of commercial property management experience
- Current Oregon brokers license or ability to obtain quickly
- Any CPM/CSM/RPA credentials are a plus, not a must
- Yardi is the software we use, bonus points for experience, if not experienced with Yardi some other sort of PM accounting software and an ability to learn is important .
