Assistant Project Manager - Multifamily Redevelopment / Renovation Construction

We have a great opportunity for an Assistant Project Manager to join our construction management team. Based in the East Bay Area of Northern California, this position will assist the Project Manager or Sr. Project Manager with various renovation activities for the properties in our Northern California portfolio. This is a full time position based in the East Bay Area. We are looking for candidates with at least 3+ years of experience in multifamily renovation and large capital projects.

Construction Management Assistant Project Manager Work Scope Outline

DUE DILIGENCE

  • Assist Project Manager with due diligence prep, contractor lists, follow up
  • Assist Project Manager the day of due diligence procedures, assistance on site
  • Assist Project Manager with the follow up on contractor proposals and DD items requiring additional research
  • Take control of contractor management, assemble and implement the schedule, and direct their due diligence efforts while on the property.

PRECLOSING (ONCE PURCHASE IS ASSURED) AND CLOSING TO KICKOFF
  • 45-days prior to closing assist Project Manager with action plans for interior renovation mock up units, club house renovation, models, units, etc. requiring design specs.
  • Assist Project Manager with the development of interiors spec book, prelim ready for kickoff meeting with alternates for upgrade finishes and/or cost savings.
  • Initiate bid scopes of work and draft contract scopes/requests
  • Become familiar with any immediate needs requirements (to be confirmed upon closing)
  • Assist Project Manager with any pre-construction meeting (following closing, coordinate contractor pre-construction meetings prior to any major construction scope start)
  • Work with and direct the project superintendent to complete interior renovation mockup unit/s (complete within 30 days of closing) and scheduling
  • Become familiar with the insurance and licensing requirements and assure these templates are provided to all bidders and prospective contractors.
  • Use the Weekly Field Agenda template to formulate the weekly reporting platform.

POST CLOSING AND PROJECT START Platform B vs. Platform A Type Projects-differences, responsibilities, and the Assistant Project Manager Role in each.
  • Major projects bid scope development, bid out, and commit, scopes can start prior to closing
  • Unit redev bid out and commitments, coordination with and assistance by the Assistant Project Manager
    • Coordinate and direct the project superintendent on pre-walk/pre-inspect prospective redev units at least two weeks prior to start of unit construction and complete pre walk unit checklist.
    • Coordinate with superintendent so that pre-walked units are shown on unit status with projected completion for pre-leasing
    • Direct and coordinate with superintendent on all aspects of unit renovation and turn over to Ops.
  • Become familiar with contracts as they are written and executed. Draft contracts, purchase orders, and similar commitments for review and approval by the Project Manager. Monitor the commitment log for status and execution. Become familiar with cost projections for interiors and draft cost projections for review and approval by the Project Manager.

ASSISTANT PROJECT MANAGEMENT DURING REDEVELOPMENT
  • Cost report reconciliation and update (monthly)
    • Job cost detail report-NA's
    • Commitment ledger
  • One on one, in person monthly meeting with Project Manager and Asset Manager to review cost report, budget, schedule (may be scheduled quarterly for remote projects)
  • Submit for review of the project manager close out commitments as projects are completed (no hidden savings)
  • Update cost projections at project milestones, at least quarterly (be prepared for spec changes as property or demographics change). Review with Project Manager

CLOSE OUT, MONITORING CONTINUING COSTS (PROPERTY CONTINUING SUPPORT)
  • Work with the Project Manager on the following:
    • Close out commitments-final
    • All significant project documents upload to SharePoint
    • Final As Built worksheet
    • Final Unit Status report
    • Final meeting with Asset Manager to discuss closeout, continuing Ops support, items not completed with the Construction Management budget
    • Upload all pertinent and close out documents to the SharePoint Sales Folder

OTHER RESPONSIBILITIES Construction Management Agreements (CMA) Insurance App, Emergency Services Assistance, Rebuild Property Capital Projects and Construction Management Assistance

Estimated Salary Range: $68,000 - $112,000

The salary range displayed for this position is determined by skills and experience required, location and job complexity. Potential job offers may vary based on the skills, education, and experience an individual candidate holds. This range reflects base salary only, and does not include allowances, perks, commissions or bonuses applicable to this position (if any). In addition to wages, Fairfield offers all full time associates the following, upon meeting eligibility requirements:

$98,320.00 - $147,480.00
This position is exempt; the range above reflects annual salary.
