Job Summary/Basic Function:
This position will provide assistance to the Registrar in all office functions including enforcement and interpretation of university policies, rules, and federal regulations that relate to academic standards, enrollment and student academic records; and the overall management of the Registrar's Office which includes oversight of transfer credit and graduation evaluation. Additionally this position represents the office on university committees. This position reports to the Registrar.

Level Scope:
Manages a team consisting of both experienced professional and classified staff. Responsible for maintaining the integrity of degrees awarded by Boise State University by ensuring that all graduates adhere to University policy and procedure governing graduation and verifying the posting of over 4000 degrees annually. Oversight of eligibility for all student athletes. This function entails verifying that all student athletes are academically eligible for competition. Inaccurate information could result in forfeiture of competition events, NCAA financial penalties, loss of scholarships, or ultimately loss of NCAA participation privileges. Determines objectives, develops strategies and policies, manages human resources, and functions with a high degree of autonomy. Requires strong management and leadership knowledge.

Essential Functions:

  • Managerial responsibility for maintaining the integrity of degrees awarded by Boise State University by ensuring that all graduates adhere to University policy and procedure governing graduation and verifying the posting of over 4000 degrees annually.
  • Responsible for maintaining and creating 2+2 articulation agreements.
  • Administrator of TES system for university transfer equivalencies.
  • Serves as NCAA Academic Compliance Coordinator.
  • Oversees academic compliance for all University student athletes.
  • Assists in interpretation and enforcement of university policies, rules and federal regulations that relate to academic standards, and student academic records.
  • Provides back-up in absence or unavailability of the Registrar for interpretation of University rules and regulations to individual students and situations with differing circumstances.
  • Represents the office in various forums throughout the university.
  • Coordinates with academic departments to insure proper evaluation of credit.
  • As the area expert, provides individualized training on Academic Advisement report and transfer credit to academic departments and Advising and Academic Support Center.
  • Involvement with all enhancement or modification of current system. Including, but not limited to, the academic advisement module, graduation reporting, transfer credit equivalencies, and the degree audit.
  • Involvement with all system upgrades.
  • Identifies system problems, issues and/or patterns and suggests system changes to address or resolve
  • Knowledge of the Registrar's Office business practices/processes.
  • Knowledge of transfer/test/other credit rules and regulations, including but not limited to ACE guidelines.
  • Knowledge of NCAA regulations and requirements.
  • Knowledge of University policy and procedures as they relate to academic records.
  • Ability to troubleshoot and make decisions.
  • Ability to work with diverse groups of people across campus.
  • Excellent oral and written communication skills.
  • Demonstrated abilities to be a proactive leader at a dynamic university.
  • Demonstrated organizational skills and abilities in managing multiple tasks and timelines.
  • Demonstrated student-centered philosophy and commitment to the principles and practices of customer service.

Knowledge, Skills, Abilities:
  • Must have the ability to envision, manage and oversee implementation of state-of-the-art computer systems and pursue other innovative service enhancements.
  • Demonstrated knowledge of complex student information systems.
  • A strong background in data management, reporting and extensive experience in relational databases is necessary in the role of Associate Registrar. The incumbent must be able to exhibit a thorough understanding of student information systems and reporting tools as they relate to the work of the Registrar's Office and the college in general.
  • Ability to plan and implement technological change.
  • Demonstrated analytical skills to define and solve problems as related to office operations and computer systems
  • Excellent oral and written communication skills.
  • Demonstrated abilities to be a proactive leader at a dynamic university
  • Demonstrated organizational skills and abilities in managing multiple tasks and timelines.

  • Ability to present to audiences of various sizes and mix and the ability to work with diverse groups of individuals across the University.
  • Excellent staff management skills.

Minimum Qualifications:
Bachelor's degree and 3 years' experience in similar work.
