The Mass General Brigham Clinical Trials Office provides contracting, budgeting, CTMS and Industry Trial Revenue Cycle services to our member-hospital investigators and their industry sponsors conducting Phase I-IV clinical trials. Under the auspices of the Office of the Chief Academic Officer at MGB, we offer tools and expertise in clinical trials set up and execution. The CTO manages broad array of agreements and budgets across the clinical trials spectrum, ranging from confidential disclosure agreements to multi-center coordinator contracts.

The newly established Mass General Brigham Clinical Trials Central Billing Office (CTCBO) is responsible for managing the full revenue cycle for industry-sponsored clinical trials. Leveraging Mass General Brigham OnCore Clinical Trial Management Systems, MGB PeopleSoft and other applications supporting research, the CTCBO is responsible for providing consistent and centralized administrative support managing financial reimbursement for industry sponsored clinical trials. The CTCBO Associate Clinical Trials Billing Coordinator facilitates all aspects of industry sponsored clinical trials revenue cycle for their assigned portfolio. They also assists with clinical trial billing special projects. Preferred candidates will have experience coordinating clinical trials and/or experience in revenue cycle operations.

Principal Duties and Responsibilities:

Core Responsibilities - Accounts Receivable/Payable:
• Regularly review contracts/budgets, create/maintain study calendars and manually gather data from study teams
• Ensure timely clinical trials invoicing to sponsors which matches protocol driven procedures with patient accruals/visits to ensure appropriate invoicing and reimbursement.
• Ensure timely deposit, correct allocation, reconciliation and distribution of revenue.
• Contribute to requests for revenue cycle data to Principal Investigators, Business Managers/Directors, and other internal MGB departments and leadership.
• Work with MGB Research Cash to process and ensure timely reconciliation of sponsor payments.
• Monitor fund activities on an ongoing basis and reconcile fund balances upon clinical trial closure by working with departmental business managers and Grant Accounting to ensure timely account closure.
• Resolve account balance discrepancies between sponsors
• Interact with all levels of management and personnel to provide useful information and guidance specific to the clinical trial finance activities.
• Performs other duties as assigned.

Reporting:
• Provide accurate and timely financial status reports to the study teams, PIs and business managers.
• Contribute to monthly clinical trial accounts reporting for financial reporting purposes to the Clinical Trials Office, to ensure accurate financial statements to investigators, business managers and other internal departments.

Qualifications
Qualifications:

• Bachelor's degree in a business related field, required
• Minimum of two (2) years of medical business office experience, required
• Relevant experience preparing or interpreting clinical research budgets preferred
• Experience in Microsoft office, required
• Experience working with electronic research tools such as CTMS (OnCore, in particular), relational databases, and electronic proposal submissions systems preferred.

Supervisory Resonsibilities:

• No direct reports; may indirectly provide leadership and guidance to less seasoned and new staff

Fiscal Responsibility:

• No direct budgetary responsibility
• Demonstrates fiscal responsibility by effectively using Mass General Brigham resources

Working Conditions:

• This is a combination of a remote and and office-based job.
• Possible local travel to Mass General Brigham sites
• While performing the duties of this job, the employee is frequently required to sit; talk; or hear; use hands to finger; handle; or feel; reach with hands and arms. The employee is occasionally required to stand; walk; and stoop; kneel; or crouch. The employee must frequently lift and/or move up to 5 pounds and occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision, distance vision and depth perception.
