Job Summary

Manages and oversees Faculty Services operations and team member in the Faculty Suite at the Harper Center. Knowledgeable about Gleacher Center Faculty Suite operations. Collaborates with Faculty Services teams at Harper and Gleacher. Manages course documents including course descriptions, syllabi, and first class assignments. Develops and maintain relationships with faculty and with staff from other Booth departments and entities at the Harper Center and Gleacher Center. Identifies and creates new systems and processes to successfully support faculty and staff. Identifies, analyzes, and interprets data for reports. Participates in and lend insights on special projects.

Responsibilities

  • Manages operations and team in the Faculty Suite at the Harper Center providing oversight and guidance. Furthers the mission of Faculty Services which serves faculty, staff, current and prospective students, and guests. Furthers the faculty mission of teaching by managing Faculty Services processes and providing support to all Chicago Booth faculty members teaching in all degreed programs, as well as faculty teaching in other programs at the Gleacher Center. Provides guidance and recommendations regarding operations, relationships and partnerships. Collaborates with Faculty Services team members across locations. Knowledgeable about Faculty Services operations at Harper Center and Gleacher Center.
  • Manages classroom assignments at Harper using room reservation software and advises faculty and staff regarding room conflicts, optimal scheduling, and maximization of space usage. Provides timely responses to all requests from faculty and staff for all classroom reservations and evaluate and resolve conflicting requests for space. Provides back up support for Gleacher Center and Booth 455 room reservations.
  • Manages collection and publishing on the web of course-related documents, including course descriptions and syllabi.
  • Ensures team member is managing Teaching Assistant (TA) tracking, including the coordination quarterly with faculty, HR, and IT to track all TAs for MBA, PhD, and Business Economics courses. Ensures TAs receive appropriate payment. Requests TA Zoom accounts and temporary Booth accounts, as appropriate. Fields questions from faculty and TAs.
  • Comfortable using technology, software and other programs used by the department. Assesses issues, troubleshoots, works with Information Technology to resolve, and participates in projects in conjunction with IT to further the mission of the department and support, faculty, staff and students.
  • Identifies, analyzes, and interprets data as well as trends or patterns in data sets, and provides comprehensive reports for faculty and the Deans' Office. Utilizes statistical techniques to provide reports. Filters and cleans data as necessary.
  • Ensures compliance of service level agreements for distribution of graded materials to students at Harper and communicates these expectations to faculty and teaching assistants. Ensures FERPA guidelines are met during distribution of exams and assignments, protecting students' privacy rights.
  • Serves on committees and special projects that further the mission of Chicago Booth and Faculty Services.
  • Works from Harper Center (Hyde Park) and Gleacher Center (downtown) locations, each at least once per week, providing support and back-up coverage (including evenings and Saturdays occasionally) as needed at both locations.
  • Uses best practices to develop and execute organization's operational and overall strategic plan. Develops and implements relevant policies and procedures and ensures compliance.
  • Works with minimal guidance in space, facilities, and equipment, including renovations, moves, maintenance and ongoing facilities operations.
  • Performs other related work as needed.

Education:
Minimum requirements include a college or university degree in related field.

Education:
  • Master's degree.

Technical Skills or Knowledge:
  • Mastery of Microsoft Office software, including Word, Excel, PowerPoint, and Outlook.
  • Learn and utilize Canvas LMS as needed, and learn other course document management tools.

  • Comfortable working with other software and database programs used for room scheduling, faculty records, courses, etc.
  • Proven ability to work courteously, efficiently, and tactfully with diverse populations.
  • Superior organizational skills and constant attention to detail.
  • Work under pressure, successfully employ time management skills, and meet deadlines in spite of frequent interruptions.
  • Knowledge of general office procedures.
  • Excellent communication and problem-solving skills.
