Primary Job Purpose

The Clerk II performs clerical support for departments within Cambia. The clerk works closely with department staff as well as staff in other corporate departments.

Duties of the Clerk I and II are similar in tasks but differ in complexity and depth of experience and knowledge required. The Clerk II will perform moderate level clerical work involving the analysis and processing of material and work to completion and handling moderately difficult inquiries.

General Functions and Outcomes

  • May act as a receptionist by answering phones, greeting internal and external customers, notifying colleagues of visitors, and other reception-type duties.
  • May receive, date stamp, sort, log and distribute all incoming mail, claims and/or inquiries coming into unit.
  • Reserves conference rooms.
  • Schedules and orders service for equipment as required.
  • Maintains inventory and supplies for equipment as required.
  • Enters tracking information on CTS for certain departments.
  • Performs data entry and PC work and assists with phone coverage as required in certain departments.
  • Supports unit by updating addresses. Returns documents, which cannot be identified, to the subscriber or provider requesting additional information or providing an explanation for non-payment. Documents any returned mail.
  • May collect performance data and prepare monthly statistical reports as requested. May also follow up with appropriate staff to collect any missing data needed to compete reports in a timely manner.
  • Completes daily preparation of routine correspondence, applications and/or cash records. May enter incoming applications, correspondence and cash payments on the system.
  • Selects and mails appropriate contracts, applications, provider booklets, explanation of benefits and checks with corresponding labels and ID cards for newly established members upon request.
  • Responds to inquiries, checking on the status of claims processing and/or new individuals and/or groups.
  • May assist other staff by calling members, group administrators, agents/brokers, attorneys or providers, or other member representatives to obtain missing information and correct any errors.
  • Assists and supports other staff in sending out standard memos and correspondence.
  • Maintains and archives files for department's documentation.
  • Prepares on a daily basis correspondence, envelopes, applications and other records for imaging. Provides back up coverage for imaging department.
  • Schedules and coordinates job assignments with other departments for completion.
  • Trains new employees on clerical functions.
  • Communicates with other departments as necessary to deliver or collect information critical to claims processing.
  • May research and report findings back to Supervisor or Lead as needed.
  • Willing to work overtime and on weekends as needed.


Minimum Requirements
  • 30 wpm keying ability, with 95% accuracy; 10-key ability.
  • Ability to prioritize tasks to meet deadlines and be able to multitask.
  • Ability to operate business machines, computers, copiers, fax, etc.
  • Proven ability of telephone courtesy.
  • Ability to follow instructions.
  • Alpha and numeric filing abilities.
  • Responsible and dependable, general office skills, ability to apply basic math skills, flexible in duties, positive attitude, basic operation of standard office equipment such as PC and CRT, Microsoft Word and Excel experience helpful, and good communication skills.
  • Ability to work in a team environment and work effectively with all levels of corporate staff.
  • For claims system, must have working knowledge of medical and/or dental terminology.


Normally to be proficient in the competencies listed above

The Clerk II would have a High School diploma or equivalent and 18 months of general office experience or training, technical, vocational, careers in basic office procedures or; 12 months experience as a Clerk I with performance at the solid level for at least the last 3 consecutive months; or equivalent combination of education and work related experience.

Work Environment
  • Duties performed primarily in an office environment.
