Office Coordinator

Role overview

The Office Coordinator, reporting to Sr. Manager, Workplace Strategies, is responsible for providing office services by helping to implement administrative systems, procedures, policies, and assisting in the day-to-day work that keeps an office running efficiently. Additional responsibilities for this role is to create a safe, and secure environment for our employees.

A day in the life...

Front desk presence from a security lense with responsibilities including: Oversee visitor sign-in, registration and completion of secrecy agreements Hand out visitor/temp ID badges - three times a week, reach out for accounting of badges. Report back to Office Specialist when one is lost Diffuse any issues that may occur at the front deskAnswering of Reception Desk phoneMonitor desk and electronic securityProvides information to stakeholders (employees and senior leadership) by answering questions and requests in a timely fashion. Communication via our Slack Channel is key in promoting awareness as well as engagement.High level calendar management skills, to assist with conference room conflictsDemonstrated ability to maintain confidential and sensitive data and situationsOutgoing and incoming mail handlingMonitors and ensures readiness of conference rooms, break rooms, restroom facilities and all public access spaces and training roomsBe the first face to our culture to our visitors, office and protect the security and integrity of our company and clients by ensuring that all visitors are signed in and badged appropriatelyBe point person for first day experience for all new hires coming into the Plymouth Meeting Office. This also includes interviewees. Assists with shipping tasks: Term'd EE's belongings (Office Specialist will be responsible for addressing these items), ad hoc shipping requestsAssist with reporting ad hoc building maintenance issuesGeneral office experienceSecurity background a plusHigh level calendar management skillsDemonstrated ability to maintain confidential and sensitive dataAttention to detailHighly organized and able to prioritize work and tasksCommunication skills, especially written
