About the Department:

The Division of Film and Media Arts is an undergraduate-only program based in the Meadows School of the Arts with nine full-time faculty, two full-time staff, and 70-80 majors. It offers two degrees: a 33-credit generalist B.A., and a 51-credit B.F.A. centering on media production or screenwriting. The curriculum is balanced between courses in media production and media studies.

About the Position:

The Coordinator 2 position in the Division of Film and Media Arts is primarily responsible for facilitating the operation of the Division. This includes managing enrollments in courses and in the Division's degree programs, the Division's (and Chair's) schedules, the Division's budget and the Division's facilities. This position also maintains records of faculty and student performance and coordinating student internships. The Coordinator 2 responds to phone, web, and email inquiries and manages faculty and student email distribution lists. This position also facilitates student recruitment for the division in coordination with the Meadows Recruitment Office, liaising between students and Chair, assisting in student advising, organizing departmental meetings and events and communicates important information to students, faculty, and staff while facilitating the development of recruitment and promotional materials.

Essential Functions:

  • Manages the Division's budget, including day-to-day updates on all financials for Film and Media Arts, and fiscal year-end budget management.
  • Maintains and manages the enrollment of students in FILM courses, and in FILM degree programs.
  • Schedules all Film and Media Arts course offerings, in coordination with the faculty, including revisions to the course catalog.
  • Manages important division communications (primarily via email), including division and local film community events, college and university deadlines, and class scheduling information.
  • Provides administrative support to the Chair, including confidential correspondence, and maintaining the division office (Umphrey Lee 238) and its associated storage spaces.
  • Maintains records of the performance and employment of current faculty and staff, including annual reviews, adjunct contracts, and correspondence from Human Resources and Payroll.
  • Assists Chair in overseeing Alumni relations, including maintaining and updating database, and working with Meadows Alumni Relations on projects and events.
  • Manages the Division's and Chair's official schedules, including yearly, monthly, weekly and daily tasks and events, as well as special events as needed.
  • Occasional evening and weekend work, due to special Division and School events.


Qualifications

Education and Experience:

A Bachelor's degree is required.

Two years' experience working in administrative support, including accounting systems and software, is required.

Knowledge, Skills and Abilities:

Candidate must demonstrate strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop and maintain effective relationships with a wide range of constituencies. Must also demonstrate strong written communication skills.

Candidate must possess strong problem-solving skills with the ability to identify and analyze problems, as well as devise solutions. Must also have strong organizational, planning and time management skills.

Candidate must have proficiency in Microsoft Office.

Knowledge of PeopleSoft and Concur is preferred.
