Role Description:

The Corporate Administrator provides day-to-day assistance to the corporate office by serving as the first point of contact for visitors and callers to the Ardagh Chicago office. This position will also manage all tasks related to mail, deliveries and providing clerical assistance to internal customers. This position is required to be on-site 5 days/week.

Key Responsibilities:

  • Greet all visitors in a courteous, professional manor
  • Serve as the company's first point of contact for all visitors
  • Answer the company phone to screen and direct callers to the correct person within Ardagh in a professional and efficient manner
  • Provide information to callers
  • Ensure knowledge of staff movement in and out of the organization
  • Monitor visitor access and maintain security awareness
  • Provide general administrative and clerical support
  • Prepare correspondence and documents
  • Organize conference and meeting room bookings
  • Plan and execute monthly town hall luncheons
  • Support leadership with onsite meetings to include booking conference rooms, transportation for guests, meal ordering, hotel and/or dinner reservations
  • Control inventory relevant to receptionist area
  • Receive and process all mail and packages for the office
  • Prepare office packages to be sent domestically and internationally via FedEx and USPS for office staff
  • Establish wireless internet connection for visitors
  • Recognition and awards administration
  • Partner with Accounts Payable and Vendor Master to process initiate POs and process payments
  • Ensure expense management and bill payment is in line with the HR budget
  • Collaborate with Human Resources on various initiatives and projects
  • Update and maintain company organizational charts and contact lists
  • Tidy and maintain the reception area
  • Manage vendor relationships for all office and café equipment, i.e. multifunction devices, coffee machines, cable TV, etc.
  • Back up Executive Office Administrator i.e. schedule appointments for staff members, schedule domestic and international travel for Leadership Team, manage executive calendars in Outlook, prepare executive presentations in PowerPoint, process expense reports for Leadership Team members

Requirements:
  • 2-year degree or higher preferred
  • Highest level of confidentiality and organization is required
  • Ability to multitask and maintain progress on multiple projects
  • Proficient experience in Microsoft office to include Word, Excel, Outlook and PowerPoint with ability to create executive level presentations for Leadership Team members
  • Approachable with a genuine desire to help others
  • Ability to independently manage projects and processes with a deadline
  • Excellent verbal and written communication skills
  • Ability to effectively interact with customers and co-workers
  • Strong sense of urgency
  • Strong ability to work collaboratively with teams
