Job Summary

Situated in the Law School's Dean's Office, the Dean's Office Administrator provides a broad range of high-level, confidential administrative, financial, and project-related support to the leadership of the Law School, specifically the Dean and Deputy Dean. Support may also be provided to Human Resources, the Associate Dean of Administration, and the Chief of Staff.

Responsibilities

  • Facilitates communication and manage projects at the direction of Law School leadership.
  • Manages highly sensitive and confidential matters in support of the business of the Law School, using independent judgment and excellent discretion.
  • Independently handles routine administrative and operational matters.
  • Provides administrative assistance to the Dean in the absence of the Executive Assistant to the Dean.
  • Provides administrative assistance to the Deputy Dean, Chief of Staff, Human Resources, and the Associate Dean of Administration.
  • Researches topics as directed by the Deans.
  • Prepares summary reports, including the development of complex spreadsheets and/or database, materials and information for meetings, including proofreading and copyediting written materials prior to publication or distribution.
  • Manages electronic and hard copy filing systems; creates and implements process improvements for general office management, including the development of operational manuals.
  • Processes expenses and reimbursements on behalf of the Deans.
  • Makes complex event and travel arrangements for the Dean and processes all related expenses and reimbursements.
  • Assists with planning of faculty conferences, programs, meetings and events.
  • Assists Deans and faculty with matters related to teaching and scholarship.
  • Provides administrative support for faculty recruitment and onboarding.
  • Provides administrative support for academic affairs and curriculum planning at the direction of the Deputy Dean.
  • Prepares special reports and summaries, assists in managing daily operation of the office, and may assist in developing administrative goals and policies. Maintains the leader's calendar, exercising considerable discretion and judgment as to priorities and effective use of the leader's time.
  • Initiates correspondence and other written materials under own signature or for signature of the leader. Triages emails and telephone calls for action. Resolves routine and complex inquiries. May act as liaison to Board of Directors.
  • Performs other related work as needed.

Minimum Qualifications

Education:
Minimum requirements include vocational training, apprenticeships or the equivalent experience in related field (not typically required to have a four-year degree).

Education:
  • Bachelor's degree.

Experience:
  • Relevant work experience, with demonstrated increases in responsibility.
  • Experience working in higher education.

Preferred Competencies
  • Mastery of Microsoft Office Suite of products, and electronic calendaring software.
  • Excellent written and verbal skills.
  • Ability to maintain complete confidentiality.
  • Excellent interpersonal skills to interact with a diverse population of contacts and maintain discretion.
  • Strong administrative and organizational skills including ability to manage multiple tasks simultaneously, complete projects, maintain records.
  • Problem solving skills and ability to exercise mature judgment and use initiative in conducting day-to-day activities, setting priorities and meeting deadlines.
  • Knowledge of desktop publishing and web-related software.
