The Department Administrator contributes to the success of the department by providing complex and detailed administrative oversight of departmental operations, including academic program support, financial management, in support of the educational and research missions of the department. This position also provides professional-level administrative support for the department executive officer and faculty. A high degree of discretion and independent judgement are needed. There is an expectation that the person in this position will maintain effective, civil, and respectful working relationships with the University of Iowa campus community and uphold a high standard of cultural competency and respect for difference that represents our commitment to diversity, equity, and inclusion.

Specific Job Duties and Tasks

  • Coordinate and manage work processes/administrative procedures and policies to increase efficient and effective operations for the Department of Industrial and Systems Engineering; make high-level independent decisions regarding financial and operational activities and implement policy and procedural initiatives.
  • Review, revise, and edit course schedules, general catalog, undergraduate curriculum and admissions policies, graduate and undergraduate new course approvals. Participate in the management of course enrollments. Develop or maintain accurate program materials.
  • Prepare and monitor departmental budgets for general expense, undergraduate teaching laboratory equipment, faculty start-up, course fees, indirect cost recovery, teaching assistants, COGS scholarships, and UI Center for Advancement accounts; make budget projections.
  • Advise faculty and staff in the appropriateness of expenditures, release money, start-up funds, UI Center for Advancement, and department general education fund accounts.
  • Oversee and coordinate the processing of faculty promotion and tenure materials.
  • Formulate data for specialized reports, alumni placement and records, surveys, ABET, and other projects sent to the department.
  • Maintain effective working relationships with faculty, staff, students, and the public.

Education Requirement
  • A Bachelor's degree in Business Administration or a related discipline or an equivalent combination of education and experience.

Required Qualifications
  • Minimum of two years of experience and a working knowledge of, and ability to apply, policies and practices for planning and administering a budget, grant administration, and/or Center for Advancement funds.
  • Demonstrates experience and an expert level of ability to carry out ongoing office administration tasks effectively and efficiently in support of individuals, teams, and/or units, including proficiency with computer software applications.
  • Demonstrates a working knowledge of and application of the effective communication techniques and relationship building skills required to work with a variety of individuals and groups in a constructive and collaborative manner.
  • Demonstrates a working knowledge of and ability to contribute to the development and implementation of short term and long-term planning in support of the overall business plan.
  • Demonstrates a commitment to excellence through diversity, equity, and inclusion.

Desired Qualifications
  • Demonstrates knowledge of and ability to use and effectively administrate the organization's HR policies, strategies, and environment, including when supervising others.
  • Knowledge of University policies and procedures, including financial and human resources policies; and experience with University electronic systems including HRIS, MAUI and Workflow processes.
  • Experience working in an academic department.
