The Document Services team is responsible for maintaining our network of registered office locations, acting as statutory agent for service of process nationwide and abroad, the receipt, imaging, and forwarding of service of process i.e., legal documents and other government notices on behalf of our corporate clients. The team also oversees all incoming and outgoing mail and other office admin responsibilities. The role must deliver both accurate and timely processing of documents that contain an element of risk, both legal and with respect to account retention, in connection with noncompliance of expected service levels and timeframes.

The Document Services Team Lead will be responsible for the completion of the daily activities required within the Document Services Team. Additionally, the Document Services Team Lead will be responsible for developing, implementing, and managing operations processes and systems to ensure a high level of efficiency and customer satisfaction. The role requires excellent organizational and problem-solving skills, as well as the ability to lead a team of SOP Specialists. This position will report to the Director of Document Services.

Some key experience you'll have:

  • Assist Director with the management of daily activities over a group of SOP Specialists who handle the receipt, review, sorting and data entry of mass quantities of mail and other documents.
  • Ensures completion of the daily activities required within the Document Services team.
  • The Document Services Team Lead will be in charge of conducting daily huddles, weekly meetings and monthly one on ones with the SOP Specialists
  • The Team Lead will be responsible for the measurement of their team's success.
  • May handle client issues related to Document Services processes.
  • Promote knowledge of team's work to gain support for ongoing and future initiatives.
  • Providing relevant capacity planning, monitoring, and maintenance of system(s)
  • Reasonable knowledge of Operations processes and procedures is an asset.
  • Understands full impact of the end-to-end process interaction and related interdependencies.
  • Provides prompt action and service on Document Services related issues.
  • High degree of operational processing focus, and meeting all SLA's
  • Receiving, sorting, and organizing legal papers and government documents
  • Reviewing court and state agencies documents for pertinent information
  • Monitor high volume data entry, scanning and processing of documents.
  • May assist with the preparation of outgoing mail of documents using various mail carriers.
  • Researching companies in internal databases, as well as through government websites and the internet
  • Performing general administrative and other job functions as assigned
  • Facilitates employee team operations.

The Document Services team leader must possess a combination of qualities, such as effective communication skills, strong ethics, empathy, technical expertise, and the ability to inspire employees. The Document Services team leader must create a positive work environment, maintain team morale, and establish healthy working relationships with their team members.

Education and Experience
  • Bachelor's Degree from an accredited college/university
  • Experience with data entry in connection with mass volumes of documents
  • Exceptional attention to detail required.
  • Strong computer skills, including typing, scanning, email, and internet research.
  • Proficient in Microsoft Office (required) and Mac (a plus)
  • Strong organizational skills and ability to prioritize to meet daily workload.
  • Attract and retain high performer members.
  • Understand and report on key business metrics.
  • Conduct calibration sessions with internal to reach consensus on expectations and results.
  • Ensure quality monitoring occurs consistently across the location throughout the month and identify improvement opportunities.
  • Solid understanding of operational processes and systems a plus

  • Able to work independently and as part of a team.
