Assurance Executive Assistant

The responsibilities are diverse and may include but are not limited to:
  • Support Assurance Partners and Sr. Managers
  • Calendar management for Partners and preparing expense reports and time entry
  • Book travel arrangements as requested
  • Coordinate sponsorships, event registration for conferences with marketing
  • Monitor CPE compliance and state licenses for Partners
  • Send financial statements to clients via mail or electronic delivery/client portal as needed
  • Utilizing software for document retention of client information and maintain workflow processes
  • Monitor lockdown reports for compliance and send reminders to engagement team members
  • Assist with document processing during peak times or as needed to maintain workflow.
  • Assist with requests for new client set ups and expansion of services for client services, assist with any updating of client information
  • Preparation and tracking of engagement letters, predecessor/successor and workpaper release letters using the proper firm approved templates
  • Coordinate matter transfers with internal accounting related to partner retirements and transfers
  • Organize team scheduling meetings and maintain schedule updates in staffing system
  • Arrange in-house trainings, book conference rooms, coordinate attendees, all logistics, and arrange Catering services
  • Compose, prepare and distribute written materials for management using sound judgment including correspondence, memos/letters, agendas, presentations, and minutes
  • Act as liaison with IT, office services and marketing
  • Run client-specific reports for engagement teams
  • Process invoice requests and back-up materials required to invoice client accounts
  • Maintain managements contacts and mailing lists
  • Assisting the team with daily workflow
  • Serving as a backup Receptionist, as needed
  • Performing other duties as assigned.
Required Skills:
  • Minimum 5 years of high-level executive assistant work experience required
  • Highly motivated with excellent organizational and interpersonal skills
  • Intermediate to advanced level skills using MS Office - Word, Excel, PowerPoint, Outlook and Adobe Acrobat
  • Demonstrated ability to manage multiple tasks simultaneously
  • Strong written and verbal communication skills
  • Knowledgeable of business grammar and basic proofreading skills
  • Professional demeanor and appearance necessary at all times
  • Demonstrated customer focus experience interacting with senior level executives
  • Meticulous attention to detail and strong follow-up skills, required
  • Ability to learn new computer programs
  • Ability to work in a fast-paced environment and meet deadlines
  • Demonstrated team player with a flexible personality and positive attitude!

  • Self-motivated and the ability to manage work independently
