General Statement of Duties

Locke Lord LLP has an immediate opening for a Facilities Coordinator located in our Chicago office. This position will be responsible for coordinating repair and maintenance across multiple offices. The Facilities Coordinator will work with the Director of Facilities and office management to maintain a class A office environments by conducting regular office inspections to identify maintenance, cleaning, and operational issues. The Coordinator will also perform or supervise minor repairs in the areas of plumbing, carpentry, painting, electrical and HVAC.

Duties & Responsibilities

  • Coordinate repair and maintenance across multiple offices
  • Prepare and submit daily and weekly checklists/reports of facilities-related issues
  • Ensure facilities are maintained to a "Class A" standard, working with office administrators and IT personnel to ensure all conference rooms, offices, and common areas are in working order according to the Firm's standards
  • Handle installation, disassembly, moving and general repairs of office furniture
  • Work with Facilities Director to source vendors and secure bids for office maintenance and facilities-related items
  • Oversee and direct external maintenance personnel engaged in equipment installation, repair and/or preventative maintenance
  • Input and follow up on work orders for facilities-related requests; reconcile work order invoices; timely process invoices for payment and maintain a spreadsheet to track payments and history
  • Prepare notes and participate in weekly team calls
  • Coordinate with Office Administrators and Marketing team members for in-office Firm events including set up, HVAC needs, etc.
  • Set up offices and work stations for new team members, attorneys and visiting attorneys
  • Clean and dismantle newly vacated offices
  • Maintain office furniture inventory, placement and facilities storage areas
  • Work with Records team members on allocation of file cabinet space for attorneys
  • Timely input and code invoices for payment into Chrome River system
  • Liaison to building engineers for onsite maintenance and building-related issues
  • Assign and maintain emergency team lists; liaison to building when evacuation drills occur
  • Oversee smaller offices for similar responsibilities listed above at the directive of the Facilities Director

Education & Experience
  • High School Degree Required
  • Minimum of 4+ years' experience as a facilities coordinator required
  • Ability to exercise sound judgement and discretion
  • Must be able to work well in a team environment and take individual initiative on projects
  • Must be organized and able to multi-task
  • Ability to work independently
  • Ability to react and problem solve quickly
  • Good verbal and written communication skills
  • Excellent customer service skills
  • Proficient in MS Outlook, Word, Excel

Additional Information

Supervisory Responsibility - This position has no direct supervisory responsibilities.

Work Environment - This position operates in a professional office environment.

Position Type/Expected Work Hours - This is a full-time position. Days and hours of work are Monday through Friday, 7:30 a.m. to 4:00 p.m. Occasional overtime and weekends to supervise vendors.

Travel - Some travel is expected for this position.
