The University of Virginia School of Law seeks one or more faculty assistants to join its faculty support team. These positions report to the Director of Faculty Support. Faculty assistants at the School of Law provide administrative and clerical support to instructional faculty members, with a general ratio of one assistant per 10 faculty. The role of the Faculty Assistant is to support their faculty in their teaching, scholarship, and service endeavors. They may also assist students as needed, as well as collaborate with other law school departments as part of their routine work. These positions require a teamwork mindset, organizational and multi-tasking abilities, attention to detail, strong communication skills, and a customer service focus that includes the ability to work effectively with a diverse array of people.

Typical administrative and clerical support responsibilities include:

  • Handle executive level calendar management and travel for select faculty. Schedule and coordinate appointments and meetings that are held in-person and via Zoom.

  • Prepare and manage correspondence and letters of recommendation (print and electronic).

  • Help assemble course materials and post content to course home pages; create seating charts (print and electronic); assist with exam distribution.

  • Supervise students reviewing examinations, maintaining security and confidentiality at all times.

  • Provide general office support such as: purchase and distribute supplies, collect and distribute mail, copy/scan/print materials as requested, maintain paper and electronic files.

  • Compile and submit expense reimbursements for faculty.

  • Respond promptly and courteously to phone, email and in-person inquiries, providing excellent customer service in a helpful manner.

  • Abide by University and Law School policies and procedures, including FERPA guidelines, procurement policies, records management policies, etc.

  • Other job duties as assigned.

The successful candidate will function well as part of a team, communicate well orally and in writing, have a strong attention to detail, and be able to handle multiple projects simultaneously. The successful candidate should be able to maintain confidentiality and exhibit a professional demeanor at all times.

A High School Diploma with at least one year of relevant administrative support experience is required. A Bachelor's Degree and/or High School Diploma with some college course work is preferred. Preference will be given to candidates with four or more years of administrative assistant experience. Paralegal or law firm experience is a plus but not required. Candidates must possess a strong working knowledge of administrative procedures. Demonstrated proficiency in Microsoft Office and Adobe Acrobat applications is also required. Experience with Zoom is preferred.
