ROLE TITLE: Gift and Stewardship Coordinator

POSITION REPORTS TO: Director of Donor Relations

Summary of Position

Under the direction of the Director of Donor Relations, execute all aspects of Allegheny's Donor Relations Program to ensure the successful implementation and management of a college-wide stewardship program that fosters and nurtures long-term, meaningful relationships between the College and its donors. Additionally, play a significant role in the weekly gift processing, acknowledgment, and record maintenance activities within Advancement Services.

As the Donor Relations Coordinator, you will:

  • Steward donors and demonstrate the impact of their giving through the management of the donor thank you letter and release form process. Coordinate in-person and virtual visits for donors and the students and faculty who benefit from their gifts. Keep an up-to-date inventory of all donor recognition plaques and named spaces on campus. Manage and maintain the tree and bench program. Maintain funds, ensuring that all documentation is in order, appropriate parties are notified and budgetary access is assigned.
  • Assist with stewardship, reporting and recognition projects. This includes, but is not limited to, first-time donor stewardship; stewardship touches for Annual Fund and lapsed donors; special recognition for individual donors and/or groups of donors; and Annual Fund Grants, endowed funds and current- restricted reporting.
  • Follow established procedures to record gifts and produce receipts and acknowledgement letters, ensuring that it is done accurately and in a timely manner. Prepare, maintain, and distribute documentation related to new funds, transfers between funds, major gift transactions, matching gift transactions and special gift handling. Provide supporting documentation for transactions as requested by the auditors at the close of each fiscal year. Work closely with the Finance Office to create new funds. Transmit gift activity to the general ledger; and reconcile accounts monthly. Create and update constituent records within the Advancement database to ensure data integrity.
  • Manage the Institutional Advancement student employee program.

Experience and Qualifications

  • Bachelor's degree preferred but will consider years experience in higher education and donor relations in lieu of a degree.
  • 1-3 years of relative experience to the position essential functions
  • Strong organizational, communication and interpersonal skills, and capable of prioritizing multiple tasks and projects simultaneously
  • Experience with office administration (word processing, filing, etc)
  • Demonstrated ability to work effectively and positively in a highly collaborative environment.
  • Demonstrated and extensive problem-solving and decision-making skills
  • Ability to build relationships and foster relationship development

YOUR COMPENSATION

New hires are typically brought into the organization at a salary between the range minimum and the salary range midpoint depending on qualifications, internal equity, and the budgeted amount for the role.

This is a non-exempt position and the starting pay rate range for this position is $16.83 per hour.
