GENERAL SUMMARY/ OVERVIEW:

The Division of General Internal Medicine (DGIM) is seeking a detail oriented, organized, self-directed individual to work with investigators and the DGIM grant administration team providing fiscal and administrative management to sponsored research. The DGIM includes more than 30 clinician investigators and researchers supported by a wide range of government and foundation funding. Reporting to the Research Program Manager, and working closely with the Sr. Grant Administrator, the Grant Coordinator will provide support to all levels of faculty and work with varied types and levels of research funding, including NIH, foundation, and corporate sponsors. Serving as a liaison between the investigators, MGB Research Management, affiliate and subaward sites, and sponsors, the Grant Coordinator will provide post award support in such areas as subcontract communications and monitoring, budget monitoring, project expenditures, and sponsor reporting.

This is a part time position, with some flexibility as to hours and remote work options. Experience in research and grant administration is preferred, related experience in an academic research setting and with grants management systems is helpful. PRINCIPAL DUTIES AND RESPONSIBILITIES:

Specific responsibilities include:

  • Work with investigators and Research Management on set up of new awards, revising budgets as required
  • Serve as liaison between the PI and subcontracting organizations, work with central Research Management to set up grant subcontracts, and monitor subawardee budgets & invoicing
  • Under the direction of the Sr. GA, assist in regular monitoring of grant funds utilizing internal systems
  • Assist investigators with internal processes needed for research project management such as Corporate Cards, Egencia, Supply Chain & Expense Report submission
  • Set up and maintain records for external and internal consultants & vendors as needed
  • Utilize sponsor guidelines to serve as a resource to investigators regarding allowable expenses and purchases
  • Process spending on grant accounts, including review of check requests and reimbursements for compliance and documentation, entering Purchase Orders, paying invoices via Check Request Voucher etc.
  • Assist with progress reports, utilizing sponsor and internal systems to obtain budgetary and personnel information, and to ensure compliance with all guidelines.
  • Work with investigators and research management to prepare prior approval requests to funding agencies (i.e., effort reduction, re-budgeting, no-cost extensions).
  • Facilitate the implementation of data use agreements, material transfer agreements, billing agreements, and other cross institutional agreements as needed.
  • Assist with maintenance investigator compliance documentation (Other Support etc), and the bi-annual investigator effort certification process.
  • Serve as a liaison between investigators, Partners Research Management, and various sponsors as required throughout the award life cycle.
  • Assist with pre award tasks and proposal preparation as needed, especially during key deadlines
  • Attend meetings and training sessions to remain current with institutional and sponsor requirements, and policy issues
  • Additional duties as assigned to meet divisional needs, when research policies change, or workloads increase.


Qualifications
SKILLS & COMPETENCIES REQUIRED:

  • Exceptional attention to detail, strong analytical and organizational skills.
  • Positive customer-service orientation, excellent interpersonal/communication skills, professional manner, and ability to maintain confidentiality.
  • Ability to prioritize, multi-task, meet deadlines, and ask for direction when appropriate in an environment that requires continuous monitoring of priorities.
  • Proficiency in Excel, Microsoft Word, Adobe Pro, willingness to learn new applications and systems as needed. Comfortable with math.
  • Comfortable interfacing with investigators at all levels, including physician leaders.
  • Willingness to take on new challenges and openness to change.

EDUCATION:

Bachelor's Degree required.

EXPERIENCE:

Experience with research and grant administration procedures preferred, related experience in an academic research setting and with grants management systems is helpful.

WORKING CONDITIONS:

Research office setting. This is a part time 20 hour per week position, with hours and remote work options to be agreed upon at hire.
