Eskenazi Health serves as the public hospital division of the Health & Hospital Corporation of Marion County. Physicians provide a comprehensive range of primary and specialty care services at the 327-bed hospital and outpatient facilities both on and off of the Eskenazi Health downtown campus as well as at 10 Eskenazi Health Center sites located throughout Indianapolis.

Job Role Summary

The Human Resources Admin Specialistgreets applicants, instructs and assists with the application process, directs to appropriate team member and/or interviewing department. This position manages the onboarding process for new hires, which includes serving as the primary point of contact in this regard for Occupational Health, the Badging Office, and parking services. In addition, this position oversees various administrative tasks tied to record retention, I9/work authorization, sourcing initiatives, career events, maintaining community partnerships, and the employee referral program.

Essential Functions and Responsibilities

  • Greets applicants, instructs and assists with application process, directs to appropriate team member and/or interviewing department
  • Answers phone inquiries from applicants, explains application process and directs them to the appropriate team member as needed; directs department inquiries to other staff as needed, and/or problem-solves to answer questions
  • Assists Talent Sourcer with administrative tasks, to aid in preparing, executing, and maintaining sourcing strategies and initiatives
  • Supports the employee referral program; handles inquiries directed to the dedicated VIR mailbox, drafts bi-monthly email promotions, and prepares/processes the monthly reward payouts
  • Serves as primary point of contact for Occupational Health; manages physical calendar, provides new hire information for medical registration, and updates spreadsheet
  • Aids in maintaining relationships in line with college campus recruitment plans and community partnerships
  • Coordinates attendance at external career events; completes registrations, schedules staff to attend, tracks budget, prepares items for event, and tracks metrics
  • Assist the Talent Analyst in pulling and manipulating raw data, for weekly/monthly reporting requirements
  • Manages new hire on-boarding process; prints on-boarding forms and reviews for completion; directs new hire in Form I-9 and direct deposit completion; copies forms of identification and certifications
  • Reviews clearance forms, validates parking and provides ID badge and hang-tag forms for new hires
  • Greets visitors, validates parking according to department guidelines (physicals, interviews, etc.)
  • Maintains filing system that includes new hire files, rescinds and declines per department standards, purges files per retention guidelines
  • Completes I-9 form surveillance and auditing to ensure compliance with laws (includes verification of new hire's identity and employment eligibility, I-9 retention, work authorization monitoring and re-verification); completes E-Verify process for all new employees according to state law; file maintenance and re-verification; purging of terminations, name change tracking, filing, and tracking/completion when needed
  • Provides assistance and coordination in the development and maintenance of specialized human resources databases; scans new hire files and direct deposit forms into OnBase
  • Prepares meeting agendas, maintains meeting minutes and departmental calendars; staff meeting, physical calendar, PTO, career events, etc.

Job Requirements

An Associate's Degree in human resources, business or related degree; OR Two (2) years of related progressively responsible secretarial experience with public contact.High School diploma or equivalent (GED).
