Position Overview: Responsible for handling simple to complex leave administration, advising and educating people leaders, interpreting policy and regulations, and assisting personnel. Discretion and confidentiality in handling sensitive and confidential information. Consults with HR Director and Employment Counsel as necessary to ensure the fair and consistent application of policies and procedures.

Essential Responsibilities:


  • Interpret and administer leave programs and policies in accordance with the applicable federal and multi-state employment laws, including FMLA, ADA, Workers' Compensation, USERRA, Pregnancy Discrimination Act, etc.

  • Research eligibility for each leave occurrence based on employee location, length of service, relationship to family member, medical certification information, and make recommendations on leave approval/denial.

  • Administer the protected leave process from the employee's initial notice of the need for leave, to the return to work. This includes tracking, gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA-qualifying, requesting medical certification as needed, and accounting for intermittent and reduced schedule leave use.

  • Establish and maintain timely and effective communication with managers/leads, HR Business Partners (HRBPs), and the Director of Human Resources regarding employee leave status and/or modified work schedules. Ensure that employees are aware of their responsibilities and of any documentation and notice required to qualify for and to take leave.

  • Guide employees and supervisors through entire leave process. Advise managers/HRBPs and employees on the interaction of leave laws with paid time off, workers compensation, and short-term and long-term disability benefits.

  • Work with employees and supervisors to properly code protected leave in HRIS.

  • Monitor hours used and leave expiration. Work with employees on leave to coordinate their return to work and notify supervisors with details. Oversee and coordinate necessary medical release forms and other documents in the return-to-work process for employees returning from extended FMLA, workers compensation, or other leave(s).

  • Maintain up-to-date knowledge on legal changes related to leave, benefits, time and attendance, and other human resource topics to ensure proper compliance.

  • Draft and/or recommend revisions to company leave process and policies to ensure compliance with federal, state, and local laws and regulations.

  • Perform regular attendance audits, and work with supervisors to ensure compliance with time-keeping and attendance policies.

  • Administer the Workers' Compensations program. Work with Workers' Compensation carriers to submit and monitor claims. Monitor claims closely to expedite return to work.


Supporting Responsibilities:

  • Provide customer service to internal and external customers.

  • Provide backup to other HR staff members as needed.

  • Meet department and company performance and attendance expectations.

  • Follow the PacificSource privacy policy and HIPAA laws and regulations concerning confidentiality and security of protected health information.

  • Perform other duties as assigned.


SUCCESS PROFILE

Work Experience: Minimum of 3 years' of experience in Human Resources or related field, with prior protected leave experience required. Experience with Workday HRIS preferred.

Education, Certificates, Licenses: Bachelor's Degree in Human Resources, Business Administration or related field, or equivalent years of experience required.

Knowledge and Skills Required:

  • Excellent written and verbal communication skills, excellent interpersonal skills, strong organizational skills, time management, analytical/problem-solving, and attention to detail. Ability to maintain strict confidentiality with respect to employee related sensitive issues. Strong computer skills required. Requires ability to define and prioritize problems and manage workload.

  • Proven experience as an adept administrator and critical thinker relative to Protected Leave related functions.

  • Extensive knowledge of the leave requirements and other legal protections afforded by the FMLA, ADA, and other applicable state and federal laws. Ability to read and interpret company policies and procedures.

  • Proficient in Microsoft Office Suite or similar software.

Environment: Work inside in a general office setting with ergonomically configured equipment. Travel is required approximately less than 5% of the time.

Physical Requirements: Stoop and bend. Sit and/or stand for extended periods of time while performing core job functions. Repetitive motions to include typing, sorting and filing. Light lifting and carrying of files and business materials. Ability to read and comprehend both written and spoken English. Communicate clearly and effectively.
