Job Summary

Globe Life Travel is looking for a personable, seasoned event planner to assume the role of Manager, Meetings and Events. Globe Life Travel is responsible for delivering end to end meeting and event services for six separate insurance companies included in the Globe Life family of companies. Events include both business meetings and incentive trips (domestic and international), as well as multiple training events held all over North America.

The right candidate will have 3+ years of fantastic incentive trip expertise and have successfully supervised a team of planners in executing exceptional events. The ability to deliver on outside the box concepts while adhering to budgetary guidelines is a must. We are looking for an attendee focused team member with a "never say no" mindset (even when you have to say no). We operate in a fast paced multifaceted department with tight timelines. Primary Duties & Responsibilities

  • Manages a team of planners to provide exceptional meeting support within the timelines assigned
  • Plans and implements meetings and special events from beginning to end as assigned
  • Directs and coordinates activities with project staff to include Finance, Legal, Marketing, Sales and Production to outline scope of work and project plan to assign duties and responsibilities
  • Develops and adheres to project guidelines
  • Recommends strategy based on meeting goals and objectives
  • Provides team and meeting owners follow up to ensure events are properly handled
  • Develops creative approaches to provide company with new ideas and opportunities
  • Develops and manages relationships with vendors, hotel staff and other partners to ensure delivery of services as defined by meeting requirements
  • Ensures timely, accurate, well documented information is maintained in each meeting file
  • Oversees management and development of registration sites in CVENT
  • Participates in operational process improvement
  • Participates in selection of travel staff and assigns staff to supervise TD's and other free-lance staff while on site
  • Travels to meeting locations for site visits and onsite support for programs assigned
  • Collaborates with the VP of Corporate Travel in the establishment of budgets, financial requirements and schedules for company's internal processes
  • Approves floor plans and seating arrangements
  • Reviews Banquet and Event orders for accuracy
  • Understands and follows compliance guidelines
  • Assess and secures AV Requirements
  • Manages RFP process for team
  • Understands and manages compliance to ensure meeting owner's expectations are exceeded
  • Reconcile budgets timely including budget variances, negotiated savings reporting, assists in preparing in billing
  • Negotiates and reviews contracts, vendor management and final bill reconciliation
  • Provides professional training and guidance to event staff members through mentoring
  • Participates in ongoing professional development
  • Performs other duties as assigned

Required Knowledge & Experience

Education & Work Experience
  • Minimum 3+ years of event management experience utilizing Cvent
  • Supervised a team for 2+ years in delivering fantastic events
  • Creative and organized with excellent interpersonal and communication skills
  • Has a strong sense of the requirements to reach audiences and deliver an exceptional event
  • Has exceptional project management skills, and is able to multi-task and prioritize workload
  • Can hit aggressive deadlines while delivering high quality work
  • Is able to manage costs efficiently and deliver programs within budget and on time
  • Extremely detail-oriented
  • Has created and executed event plans that includes event goals, messaging, communication and all other details from conception through follow-up.
