Job Summary/Basic Function:
Under the general supervision of the Associate Director for Housing Operations, the Manager for Summer Conference and Guest Housing's role is to oversee operations of all guest housing, and develop and directly manage all aspects of the department's summer conference and guest housing program.

Level Scope:
Provides immediate supervision to a unit or group of operational or technical employees. Sets and delegates day-to-day tasks to achieve operational objectives. A portion of time may be spent performing individual tasks related to the unit; however, supervisory activities must constitute a primary part of the job. Supervises unit operations to ensure compliance with departmental or campus policies, procedures, and defined internal controls. Problems typically involve a single area, process or constituent group. Ensures accountability and stewardship of campus resources (operational, financial, and human) in compliance with departmental standards and procedures.

Essential Functions:
Conference and Guest Housing Administration

  • Coordinate all aspects of the conference and guest housing operation including: short term faculty/staff/guest housing and summer conferences
  • Ensure reservations for Housing & Residence Life, Student Union, Boise River Café, University Catering/Dining, Parking, in addition to other space, are comprehensive and complete per client needs
  • Establish a comprehensive conference calendar for at least five years in advance
  • Ensure a single statement, contract, and point of contact for clients when doing a comprehensive booking through Conference & Guest Housing
  • Negotiate rates and service availability with service providers and clients
  • Monitor facility conditions and maintenance needs for summer conferences and faculty/staff/guest housing - make customer centric modifications when necessary
  • Oversee facility turns during the summer conference season
  • Monitor linen usage, order replacements when necessary
  • Create online application and manage the intake flow for all faculty/staff/guest short housing requests
  • Partner with guest sponsors to ensure housing requests fit the availability and amenities needed
  • Work with H&RL facilities and operations and FO&M to maintain our rental standards
  • Lead clients and staff in the logistics of planning implementation of over 60 summer conferences with unique programming, needs, and requirements - from initial inquiry to completion
  • Coordinate and manage multiple conferences of varying sizes (10-1,500) simultaneously while upholding strong customer service
  • Manage the scheduling, leasing, and management of all short-term housing rentals
  • Develop and execute specific group registration and check-ins for conferences, regardless of location, group size, or needs
  • Respond and assist to group emergencies or disciplinary issues as needed

  • Motivate and provide direction for Conference & Guest Housing teams
  • Hire, train, supervise, manage work flow, and evaluate Summer Conference Housing Coordinator and student staff positions
  • Handle employee relations issues, timesheets, payroll approval, and other HR related tasks
  • Lead regularly scheduled staff meetings
  • Meet with staff individually on a regular basis
  • Plan and provide comprehensive training for all Conference & Guest Housing staff
  • Assist in the education, development, and employability of a large team of employees
  • Review and modify training as need to effectively prepare a proactive and cohesive team

Knowledge, Skills, Abilities:
  • Knowledge of, and experience with, residence hall operation.
  • Excellent administrative and organization skills.
  • Understanding and application of Student Development Theory.
  • Knowledge of social justice and skills to interact with a diverse student population.
  • Ability to think critically in times of crisis.
  • Supervision, development, and evaluation of student staff/leaders.
  • Customer service knowledge with strong written and oral communication skills.
  • Innovative problem-solving.
  • Budget oversight/management.
  • Experience with student conduct adjudication.
  • Ability to learn and master computer systems required for building and occupancy management.

Minimum Qualifications:
Bachelor's degree or equivalent experience

Preferred Qualifications:
  • A Master's degree in Student Affairs, Higher Education Administration, Business Administration, Hotel and Hospitality Management, or a related field
  • At least three years of related experience, especially working in conference/guest housing and/or services, supervisory experience, and experience providing excellent customer service
  • Fluency in two or more languages

Salary and Benefits:
Salary ranges from $44,500 to $52,400 depending on experience.
