SUMMARY

The role of the OCC Coordinator is to support the operation in an administrative capacity. Effectively alleviates the clerical duties of the OCC/Dispatch office. Ensures a smooth and efficient workflow.

ESSENTIAL DUTIES AND RESPONSIBILITIESinclude the following, but not limited to:

  • Provide clerical assistance (data entry, typing, filing, copying, binding, scanning, etc.) to OCC Managers
  • Receive and screen all incoming telephone calls to insure they're routed to the appropriate person(sand/or department(s)
  • Maintain Phone Contact Sheet and associated email distribution lists. Ensure that telephone numbers, emails and contacts are up to date.
  • Update Parking Spot Notifications, Inbound CBP/Agriculture calls
  • Fuel request written and verbal.
  • Maintain fuel uplift data entry for customers.
  • Update Flight Board in flight ops systems.
  • Send Movement messages to appropriate distribution lists
  • Audit Log Pages
  • Perform other duties as directed by the OCC Managers


PERFORMANCE STANDARDS/MEASUREMENTS;



Capable of managing dynamic workflow in order to streamline flights operations. Familiarity with OCC administrative functions. Data collection accuracy and transmission in a timely manner.



QUALIFICATIONS:



EDUCATION and/or CERTIFICATION:



High School or GED



REQUIRED KNOWLEDGE:


  • Must be have experience in Microsoft Office Suite
  • Must have flight operations experience
  • Excellent English Oral/written communication


REQUIRED EXPERIENCE:


  • Must have 2 years office/administrative experience
  • Must have at least 1 year operations experience

  • Must have a desire to be proactive
  • Maintain absolute confidentiality and discretion
  • Excellent customer service skills
  • Flexibility to adapt to a fast-paced work environment
  • Attention to detail and problem solving skills
  • Excellent time management skills and the ability to prioritize work


PHYSICAL ACTIVITIES AND REQUIREMENTS OF THIS POSITION:


  • Must be flexible and able to work various hours and weekends
