Job Duties:

  • Efficiently operate the main switchboard.
  • Welcome clients and provide assistance or direction to appropriate personnel.
  • Prepare warranties and lien waivers along with billing statements as needed.
  • Process customer payments, apply them to accounts receivable, and ensure accuracy.
  • Generate Company invoices promptly and accurately.
  • Distribute customer invoices and statements via mail or email in a timely manner.
  • Establish new customer credit files following Company guidelines.
  • Maintain and update order logs and invoices, and verify month-end totals.
  • Input orders into accounting software accurately.
  • Confirm receipt of orders with customers and generate pick tickets for the factory.
  • Gather necessary credit information for customer and dealer orders.
  • Secure required building permits.
  • Calculate adjusted sales figures and commissions for sales personnel.
  • Organize order files according to specified procedures.
  • Verify the accuracy of backorder files.
  • Review and mail customer statements on a monthly basis.
  • Keep backorder logs up to date.
  • Ensure accurate and efficient order preparation.

Requirements:
  • Education: High school diploma required
  • Experience: 2-3 years of experience in secretarial, administrative, accounting, sales support, or clerical roles.
  • Proficient computer skills, including experience with Microsoft Office
Additional Info:
  • Schedule: Monday - Friday, 8am - 5pm
  • Location: 100% in office
  • Pay Rate: $23 - $28/hr depending on experience level
