Overall Results Expected

The Operations Support Specialist provides advanced administrative support to Recycling Operations. With a comprehensive understanding of recycling business operations, the Operations Specialist is responsible for ensuring effective office operations and for overseeing and performing various tasks to assist the Managers in coordinating all aspects of daily operations, including recording and reporting data.

Major Areas of Accountability

  • Completes and maintains a variety of reports as directed by department managers and supervisors.
  • Assists with scheduling training and meetings, completing paperwork, and forwarding necessary paperwork to the appropriate department, including HR, safety, payroll, and accounting.
  • Addresses facility management needs including, but not limited to office supplies, safety and PPE supplies, general building maintenance, and electronic and physical mail sorting.
  • Supports maintenance with RTA work orders, other RTA functions, and reporting.
  • Maintains records as required to support compliance with regulatory and statutory requirements.
  • Covers and supports administration of the scale house, shipping, and sales.
  • Greets visitors and answers phone in a prompt, professional, and courteous manner.
  • Liaison to accounting for the effective and timely entering and processing of invoices. Reviews, verifies and reconciles vendor statements
  • Liaison to Safety for training records, PPE, boot truck, testing, awards, etc.

Education and Experience
  • High School Diploma or GED
  • 2 – 3 years in an administrative support role
  • Basic use of the MS Office (Word, Excel and Outlook)
  • Professional verbal and written communication skills, as well as analytical skills
  • As a multi-national location with several language dialects, applicants with multi-lingual communication skills are highly preferred
  • Excellent customer service and organizational skills
  • Highly detail oriented and process driven; data entry and data manipulation will be central to the role
  • Good time management skills to prioritize, plan, and follow through with assigned work activities
  • Positive and engaged attitude
  • Identifies and resolves problems in a timely manner
  • Reacts well under pressure and treat others with respect
  • Balances team and individual responsibilities and helps build a positive team atmosphere
  • Adapts and able to deal with frequent changes in the work environment
