GENERAL SUMMARY/OVERVIEW STATEMENT

Responsible for the control, procurement, receiving, distribution, and accuracy of the inventory and non-inventory items for 43 ORs, L&D, Anesthesia, Cardiac Perfusion, OR Specialty Items, Central Processing, and 10 Out of OR locations. Provide leadership and strategic vision for the delivery of service and support operations for the OR/CSS medical/surgical supply budget averaging $43M annually. Responsibilities include human resource management of OR Materials Management and Anesthesia Technician staff.

PERSONNEL RESPONSIBILITIES

  • Direct management of the Assistant Manager, Materials Coordinator and 3 supervisors with overall responsibility of 34 FTE's.


  • Fosters a collaborative and proactive team focused on delivering the highest level of customer service 24/7/365 which ensures all departmental needs are met. Develops long-range manpower resource planning, based on OR/CSS and BWH initiatives.


  • Develops department policies and procedures and ensures that all work is performed safely and in compliance with all applicable environmental and safety regulations and BWH policies


  • Responsible for developing skills needed by subordinates in performing their jobs. Sets climate for professional growth and development. Organizes and plans training for all support personnel.


  • Resolves customer complaints and manages relationships with all internal and external customers.


  • Responsible for hiring, orientation, training, evaluating, counseling and reviewing continuing education programs for employees.


  • Holds regular staff meetings and ensures timely and accurate communication of information.


  • Guides all grievance and disciplinary processes with responsibility for final determination of suspension or termination.


  • MANAGEMENT RESPONSIBILITIES
  • Responsible for oversight of all purchases for OR/CSS. This includes materials and equipment for 43 ORs, L&D, Anesthesia, Cardiac Perfusion, OR Specialty Items, Central Processing, Amigo and 10 other Out of OR locations.


  • Monitors and implements best practices for purchases in terms of ordering accuracy, efficient inventory control and fiscal management.


  • Collaborates with multiple internal customers to determine OR/CSS needs for goods and services.


  • Provides strategic sourcing analysis to improve compliance with use of contracts and preferred suppliers with a focus on Total Cost of Ownership.


  • Collaborates with Partners Healthcare Materials Management group and internal customers on all issues surrounding contract use and supplier selection.


  • Reviews and manages all OR/CSS contracts and leases. Oversees negotiations, renewals and the development and modification of contracts.


  • Develops professional relationships with sales representatives to expand new vendor sources and secure trial and substitute products, equipment and instruments.


  • Monitors and rectifies contractor's compliance, performance or non-performance and conducts periodic business review meetings. Directs interactions with vendors to ensure a compliant and safe environment.


  • Acts as OR/CSS liaison to OR Nursing Administration, BioMed, Surgical Staff, Anesthesia and other OR departments on all materials management issues. This includes, but is not limited to, management of par levels, distribution, medical/surgical product research, and product utilization.


  • Manages the OR Materials Coordinator including the OR Repair Budget, all OR Service Agreements and Capital purchases.


  • Assists with the introduction and evaluation of new anesthesia related products and technology.


  • OTHER RESPONSIBILITIES
  • Assists in the development of OR/CSS fiscal budget and Capital Product expenditures. Tracks and promotes cost avoidance and cost savings while providing the best overall value for goods and services.


  • Reviews expense reports and advises Director on causes of budget variances and measures that can be taken for cost control.


  • Participates in cost reduction committees as formed by Partners Healthcare Systems Inc. Focus of committees is to reduce annual expenditures.


  • Serves as a Committee member of hospital-wide Products Committee led by Materials Management, as well as the Needle Safety Committee, Anesthesia Products Subcommittee, Robotics Operations Committee and OR Management.


  • Orchestrates and monitors the distribution of supplies to charitable organizations with a focus on philanthropy while maintaining fiscal responsibility.


  • Qualifications
    QUALIFICATIONS

    Bachelor's degree required or Associate's degree with at least 5 years of relevant experience.

    Experience in the areas of Inventory Management, Operating Room, or Central Sterile supply preferred.

    3-5 years of management experience required.

    SKILLS AND ABILITIES REQUIRED

    Requires management, communication and quantitative skills needed to lead a department with many diverse functions. Requires interpersonal skills necessary to work effectively with a wide variety of hospital and outside personnel.

    Requires knowledge of fiscal management, specifically negotiating, accounting and auditing skills. Also requires knowledge of inventory management. Requires analytical skills needed to diagnose and correct OR/CSS inventory management problems.

    Must be able to function in a stressful, fast paced, large volume environment and be able to resolve most problems independently.
