Job Summary
- Provides office administration and support services to the School of Nursing and the Director.
- Supervise and supports secretarial staff and work-study personnel, assuring operations are efficient and consistent with School objectives and goals.
- Supports administration of budgetary and financial functions of the School, including preparation of monthly reports monitoring status. Prepares instructional effort.
- Administers the School payroll function.
- Prepares faculty contracts.
- Administers the school purchasing and accounts payable function assuring purchases are consistent with budgetary policies and controls
- Orders desk copies for full and part-time faculties through various publishers
- Performs inventory, orders supplies and expedites delivery of needed services. Orders materials such as: Watermark paper, IUN stationary and envelopes.
- Orders business cards and name pins for new faculty members that are coming into the School of Nursing.
- Assures School communications are effective, including: reviewing incoming written, electronic and verbal correspondence.
- Assures appropriate routing/screening is accomplished in a timely manner.
- Assists faculty with school-related travel documents.
- Drafts correspondence and reports for the Director and other School personnel as assigned.
- Supports the maintenance of all school files and records.
- Maintains control over supplies and equipment, assuring appropriate security and inventory systems are followed.
- Performs other duties as assigned by the Director
- Responsible for confidentiality of all verbal and written communication with students, faculty, staff, school and Indiana University School of Nursing.
- Supervises and directs clerical staff and work-study students; maintains all faculty, staff and work-study student records.
- Creates a database for yearly annual reports such as: AACN, ISBN, and ACEN.
- Performs office duties for the Director and faculty such as: a receptionist, distributing messages and room reservations, correct FedEx documentation, notify appropriate carriers of pickup and adherence to deadlines.
- Assembles and assists the Director with financial records; implements effective performance of office; determines action to be taken in absence of Director; resolves financial problems appearing on statement of accounts; prefers to policy websites and recommends solution subject to approval or make final decision depending upon the situation.
- Communicates with clinical agencies for completion of contracts, problem solving, correspondence, meetings, clarification of policies, etc. - daily, weekly, monthly and yearly. Liaises with Nursing Alumni Association officers and members.
- Safeguards the confidentiality of client and student names in complaints about student and/or faculty conduct, substance abuse or health problems in rendering of patient care which are brought to the attention of the Director.
- Receives written and verbal instructions from the Director, coordinators and faculty.

Working Conditions / DemandsThis role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
