The Payroll Specialist will provide management oversight of the Payroll function with heavy emphasis on payroll tax knowledge to ensure efficient processing and delivery of accurate payroll data. The individual will be in charge of substantially all aspects of the processing of payroll using the Workday system and will work with one other staff to carry out these responsibilities. The expectation is that the Payroll Specialist will lead the entire payroll process, timely recording of payroll accounting entries, and timely addressing employees' questions related to payroll.

What you will be doing:

  • Manage and monitor payroll processing in compliance with applicable rules and regulations
  • Develop a strong relationship and collaborate with the HR department to ensure seamless communication between the two teams
  • Ensure tax compliance for the company (e.g. payroll, census reports)
  • Prepare and/or review payroll previews and ensure accurate payroll data
  • Manage the audit and reconciliation process of personnel and payroll documents, as well as state and local tax requirements
  • Assist with payroll reports as needed [e.g., W-2s, Worker's Comp, benefit plan, and 401(k)]
  • Monitor and update Payroll information and resources on the company's intranet and Workday
  • Supervise the Time & Attendance process and send communications as appropriate
  • Assist with all payroll related journal entries including stock options, 401(k), taxes, benefit
  • Assist with payroll related account reconciliation preparation including benefit accounts
  • Assist with payroll reconciliations to ensure compliance for HSA, 401(k), and any other compensation items
  • Manage company's payroll mailbox and address payroll related questions for employees
  • Manage Workday vendor relationship related to payroll process
  • Train employees on key payroll processes
  • Communicate and problem-solve daily with teammates, clients, vendors, and other stakeholders, often in combination with travel
  • Other skills related to building a career in payroll!




The education and experience we're looking for:
  • Bachelor's degree strongly preferred
  • 2 plus years of payroll processing experience with strong payroll tax knowledge preferred
  • Experience with Workday strongly preferred
  • Experience in a mid-sized financial services/real estate company preferred
  • CPP designation preferred


What skills you should have:
  • Ability to manage information that is highly sensitive and confidential
  • Strong understanding of Payroll Tax Laws and Regulations
  • Understanding of key financial reports, including income statements, cash flow statements and balance sheets
  • Excellent communication skills (verbal and written) and attention to detail
  • Advance knowledge of MS Excel
  • Strong analytical skills
  • Demonstrates team player mentality, interacting well within a team environment
  • Ability to multi-task and work under pressure
  • Takes initiative and identifies new ways to approach existing processes, maintains an ownership approach to problem-solving, and regularly goes above and beyond role
  • Open mind to learn or improve payroll process
  • Ability to show ownership of your work, take on challenges and acknowledge growth opportunities, and demonstrate patience when learning new processes
  • Courtesy, respect, and thoughtfulness in teaming with colleagues and other stakeholders
