About the Department

The program in Law, Letters, and Society (LLSO) is an undergraduate program concerned with law and legal systems, both historically and contemporaneously, that offers a major, courses, student research opportunities, and a variety of co-curricular activities. The program is designed to develop students' analytical skills and enable informed and critical examination of law broadly construed. LLSO has over 100 undergraduate majors and offers courses taught by instructors from diverse disciplines. Law, Letters, and Society is part of the Social Sciences Collegiate Division, which oversees the administration of undergraduate curriculum and facilitates academic opportunities for undergraduate students.

Job Summary

The Law, Letters, and Society Office (LLSO) Program Administrator manages the program's operations, development, and communications. The Program Administrator collaborates with a range of staff, faculty, graduate students, and other academic personnel to facilitate the undergraduate major and serves as LLSO's first point of contact. The Program Administrator works independently to manage the program's budget, administrative operations, student staffing, and communications. The Program Administrator also provides operational support in service of the Program Director's goals and mission and supports program development by cultivating and managing partnerships with groups in and outside the University. The Program Administrator reports to the Program Director.

Responsibilities

  • Oversees financial operations, including budget preparation and spending projections, procurement, and payment.
  • Maintains the LLSO course catalog, facilitates the selection of major courses and complementary courses, and maintains course schedules.
  • Prepares reports on program enrollment, teaching, course offerings and other relevant metrics.
  • Tracks student BA thesis and major requirements and coordinates undergraduate awards and prize competitions.
  • Evaluates the program's staffing needs and coordinates hiring for student clerical workers and instructional support.
  • Assists in coordinating academic searches.
  • Creates and plans agendas for program meetings and plans and facilitates all program events.
  • Acts as the program's liaison to the Social Sciences Collegiate Division and other University units, such as the Registrar, College Advising, Financial Services, the Center for International Social Science Research, and Study Abroad.
  • Provides administrative support for the Program Director and Associate Director.
  • Supports the growth of co-curricular learning opportunities by developing internal and external partnerships, both independently and under the direction of the Program Director.
  • Manages the implementation of the Program Director's initiatives.
  • Facilitates faculty engagement in the major.
  • Cultivates internship opportunities for students and partners with the Office of Career Advancement to integrate new opportunities into existing programs.
  • Coordinates the Faculty Advisory Board by convening meetings, creating presentations and agendas, and facilitating communication between the board and other program constituents.
  • Travels on occasion to the College's international centers to build collaborations and develop internship and research opportunities abroad.
  • Creates and maintains content for the LLSO website.
  • Manages and reviews program information communicated through other units.
  • Produces and distributes print and digital promotional materials, such as newsletters, posters, and e-mail announcements.
  • Expands and maintains the program's social media presence.
  • Builds partnerships with communications resources on campus, including the UChicago News Office, College Communications, and UChicago Creative.
  • Sets and communicates program priorities and performance standards and assesses operations using these criteria. Plans and conducts quality assurance reviews and recommends changes as appropriate.
  • Analyzes program budgets and recommends or makes budgetary recommendations.
  • Performs other related work as needed.

Education:
  • Bachelor's degree or higher in a a humanities or social sciences field.

Experience:
  • Working in university administration or a university environment.
  • Working with confidential information.
  • Knowledge of the University of Chicago's unique culture.
  • Some accounting and/or budgeting experience.
  • Writing or editing content for publication or distribution to a professional audience.

Technical Skills or Knowledge:
  • Proficiency in Microsoft Office Suite.
  • Working knowledge of file sharing programs, and website software such as Drupal, Wordpress, and social media applications.
  • Produce digital and print materials using Adobe Creative Suite.

  • Handle multiple concurrent projects in a competent and professional manner while also managing details and meeting deadlines.
  • Excellent oral and written communication skills.
