CORE JOB SUMMARY

The program coordinator provides general oversight of the day-to-day operations of the Unanue Graduate Career Advancement & Engagement team. Moreover, the incumbent assists with the development, organization, production, and evaluation of the center to achieve its mission, goals, and objectives. An employee in this position demonstrates familiarity with University policies and procedures and ensures program compliance.

CORE JOB FUNCTIONS

  • Manages the department's reception desk providing a positive first-impression to all stakeholders, including the implementation of virtual office hours. Greets and provides assistance to visitors.
  • Recruits student ambassadors and partners with other university units as needed for training.
  • Drafts and initiates correspondence, develops agendas, maintains calendars, assists in accumulation of reference materials, including delivering the weekly newsletter Buzz and coordinates and attends committee meetings.
  • Supports the team both within the University of Miami and externally with employer and alumni engagement, including mentor program.
  • Assists in career data collection for accreditation and rankings, internal and external reporting.
  • Assists in alumni outreach and follow-up for speakers, mentors, events, projects and rankings.
  • Prepares reports to measure against team deliverables. Drafts comprehensive, statistical, and narrative program reports and evaluations, and monitors program effectiveness, making suggestions for revisions when appropriate.
  • Works with various admissions and career outcomes and job portal systems and technology to optimize operations and reporting and ensure proper migration and integration. Introduces process improvements as needed by staying abreast of industry trends and best practices.
  • Provides assistance and support for student participants in all administrative aspects of the center and maintains student files.
  • Coordinates and assists with event management initiatives and engagements, including experiential learning efforts.
  • Adheres to University and unit-level policies and procedures and safeguards University assets.
  • Assists with processing of payments and reimbursements and ensures administrative processes and associated forms services are completed in a timely manner.
  • Works closely with students to continuously evaluate their student experience and improve the quality and value of the program.
  • Responds to various stakeholder requests via telephone, email, video conferencing, virtual room, or any other form of communication.
  • Coordinates logistics and participates in events in support of the Graduate Career Advancement Center and Miami Herbert Business School.
  • Other duties as assigned.

CORE QUALIFICATIONS

Education:

High school diploma or equivalent. Bachelor's Degree in relevant field preferred.

Experience:

Minimum 2 years of experience required.

A combination of relevant education and experience may be considered.

  • Skill in completing assignments accurately and with attention to detail.
  • Ability to analyze, organize and prioritize work under pressure while meeting deadlines.
  • Ability to process and handle confidential information with discretion.
  • Ability to work evenings, nights, and weekends as necessary.

  • Ability to work independently and/or in a collaborative environment.
  • Proficiency in computer software (i.e. Microsoft Office).
