Program Specialist 2 - Transitional Studies

Salary: $42,444 - $56,676

Classification: Program Specialist 2

Reports to: Associate Dean of Transitional Studies

Olympic College is seeking to hire a full-time classified Program Specialist 2 within our Transitional Studies department. The Program Specialist coordinates and performs work requiring knowledge and experience specific to Transitional Studies (ABE/GED/HS+, ESL, I-BEST, Reentry). Extensive involvement with students, staff, and the public in conducting program activities, and coordinating, schedule, and monitor program activities to determine consistency with program goals. Responsibilities include but are not limited to, independently performing a variety of complex clerical and technical assignments, records management, report preparation, and purchasing for the division.

Essential Functions

  • Perform and/or coordinate administrative support functions; maintain office record keeping and/or filing systems; make travel arrangements; screen, prioritizes and distribute mail; transcribe minutes, and screen calls; compose, proofread, and produce direct mail letters, emails, fliers and other promotional materials;
  • Serve as primary contact with program participants, faculty, and the public (in-person or via our virtual lobby); provide information regarding program content, policies, procedures, and activities; promote the division on campus and with outside organizations;
  • Use word processing, spreadsheets, and or database software to develop and maintain records; Perform complex word processing tasks such as merging and sorting, integrating text with graphics, spreadsheet, and database files, uploading and downloading from state database systems;
  • Assist with collecting, monitoring, and maintaining student documentation and reporting using the Washington Adult Basic Education Reporting System (WABERS) in accordance with state and federal requirements;
  • Assist in the preparation of grants and grant preparation;
  • Scheduling meetings using Outlook Calendar/Zoom/Teams, compiling data using existing reports run in the Legacy system and running new reports from ctcLink queries, tracking student paperwork/complaints using Excel, documenting division processes, creating and updating office procedures and desk aids;
  • Assist with writing and editing position descriptions and job descriptions, assisting with recruitment, completing NeoEd updates, following up with approvals as needed, coordinating with new hires to ensure completion of all onboarding requirements, submitting PS job data requests;
  • Taking meeting minutes, sending out reminders and coordinating with faculty, working with SGOC to have student representation, keeping binders and/or Canvas shell up-to-date, following up with faculty/dean/facilitator for missing paperwork.

  • Qualifications

    Minimum Qualifications

  • High school graduate or equivalent
  • And, two years of successful administrative, office, or related experience requiring proficiency in word processing, spreadsheets, and database management.
  • Fluency speaking Spanish
  • Desired Qualifications

  • Experience providing assistance to customers regarding inquiries, complaints, and problems.
  • Experience in a higher education setting.
  • Experience with PeopleSoft.

    This is a full-time classified position scheduled to work 40 hours a week, with a salary range of $42,444 - $56,676All classified positions will start their salary at Step A, when you have completed six months of probation, you will receive a 5 percent pay increase. A collective bargaining agreement exists, and this position is covered by the Washington Public Employees Associate (WPEA) Union.
