Purpose

The Case Assignment Coordinator is responsible for processing, managing, and assigning new cases to case managers. Duties include, but are not limited to, coordinating the workload across multiple contracts with personnel and maintaining and monitoring new intake requests. This position works closely with the Program Manager and Program Coordinators. The Case Assignment Coordinator must have the ability to manage a large workload with a systematic approach towards case assignment, paying particular attention to geography, availability of personnel, and program eligibility requirements. This position requires excellent time management skills and organization; ability to effectively handle multiple tasks simultaneously is a critical characteristic of this role.

Responsibilities

  • Manage a heavy caseload of new cases as assigned.
  • Review and assemble case documentation in a highly organized and detailed manner.
  • Analyze proposed assignments to ensure case managers are assigned efficiently in line with business goals and objectives.
  • Assign cases in a timely manner to case managers in accordance with published guidelines and contract requirements.
  • Communicate urgency of priority cases to Program Coordinators and Program Manager.
  • Ensure case manager are efficiently assigned work and conduct analysis on case manager workload.
  • Run reports to identify assigned and outstanding workload.
  • Work closely with the Program Manager to provide capacity analysis.
  • Contribute to workload assignment strategy development and feedback.
  • Support monitoring and evaluation efforts, particularly in preparation for annual program monitoring and semi-annual reporting.
  • Assist finance team with requests as needed.
  • Other duties as assigned.

Qualifications

Education:
  • Bachelor's degree or equivalent work experience in lieu of degree.
Experience:
  • 4 years of previous work experience with case management and direct financial assistance programs is required.
  • Proficiency in a refugee language required .
Skills:
  • Superior written and verbal communication skills.
  • Ability to track and analyze data and adjust plans to ensure performance.
  • Strong writing skills
  • Proficient in Microsoft Office applications.
  • Experience using database for client record keeping.
  • Organized and ability to work in a fast-paced, high-pressure environment.
  • Ability to work in a multi-cultural environment required.

  • Required Languages Ukrainian, Haitian creole and Pashto and Dari.
  • Standard work hours with occasional evening or weekend assignment.
  • Occasional travel may be required.
