Position Summary

Our receptionists are the first point of contact for all external visitors and callers, as well as many of our employees. We rely on our receptionists to represent Carlyle in the best light possible. The principal responsibilities of this position are: meet and greet guests, and seat them in appropriate meeting rooms; answer and field all telephone calls, coordinate guest office reservations and manage the conference room schedule for the outward-facing conference center; act as liaison to Carlyle employees visiting from other offices; and assist with physical security protocols in the DC office.

Responsibilities

  • Answer and field incoming calls, handle general inquiries and requests
  • Register clients, guests etc. with Building Security
  • Maintain reception area: keep desk tidy, ensure conference rooms are neat and presentable; ensure all conference rooms are stocked with catering and coffee supplies and all associated machines are functioning properly
  • Assist with meeting set up and take down, receive catering, set up catering, remove catering and meeting materials
  • Meet and greet guests: take coats, offer beverages, direct to appropriate location
  • Liaise with other Carlyle offices: handle conference room requests, assist guests with seating
  • Take on administrative projects as assigned, such as creating and following up on building maintenance requests and work orders, process departmental invoicing, and various safety and security protocols
  • Other reasonably related duties as assigned

Qualifications

Education & Certificates
  • High school diploma, required
  • College degree, preferred

Professional Experience
  • Minimum of 3 years of relevant experience in a professional, corporate environment, required
  • Microsoft Office skills - especially Outlook, Word, and some Excel
  • Excellent communication skills and professional presentation
  • Able to maintain confidentiality of sensitive issues and materials
  • Must work independently and be resourceful in handling special requests
  • Collaborative/teamwork attitude and skills
  • Ability to juggle a moderate degree of multiple and changing priorities
