Key Responsibilities :The Registrar's Office Specialist serves as the first point of contact for the Juniata College Registrar's Office, supporting students, faculty, staff, and alumni by performing essential reception, customer service, data entry, and administrative support functions. The Registrar's Office Specialist must understand policies and processes for all functions of the office and perform them with exceptional accuracy in a high-activity office environment. Performance of complex office duties requiring judgment and discretion is required, as is the ability to work effectively with a variety of constituencies.
ESSENTIAL FUNCTIONS:*Serve as the front-line receptionist for the office by fielding in-person, email, phone, and fax inquiries and requests, and responding in a timely, accurate, and service-oriented manner.
*Process transactions related to student academic records, including new student record creation, name and address changes, student status changes, academic programs, academic advising assignments, grades, etc.
*Coordinate office functions related to the evaluation of transfer credit, Advanced Placement scores, and other academic credentials. Perform data entry to transcribe results with exceptional accuracy onto student academic records.
*Perform data entry and process transactions related to all aspects of course registration, including schedule-building, classroom assignments, student course registration, and course withdrawals.
*Perform all office functions and services related to transcript requests, enrollment and degree verifications, and background checks for current or former students.
*Provide administrative and program planning support for office functions related to graduation, new student orientation, high school dual-enrollment program, advisor training, etc.
*Perform general clerical functions, including correspondence, billing and payment processing, ordering of office supplies, file and records management, etc.
*Provide administrative support for the Registrar, the Assistant Registrar, and the Director of Academic Advising.
*Perform related duties as assigned.

*Knowledge and abilities normally acquired through a high school diploma or GED are required. An administrative assistant associate degree is preferred but not required.
*Prior experience in an administrative support capacity in an office setting is required. Experience working in a registrar's office or another higher education setting is preferred.
*Demonstrated competency with computers and office information systems. Experience with Microsoft Office preferred. Ability to learn and correctly use specialized software applications, including Ellucian Colleague, Entrinsik Informer, etc.
*Ability to perform tasks with exceptional accuracy and attention to detail.
*Demonstrated ability to organize and prioritize workload and handle multiple demands efficiently in a high-activity environment.
*Ability to work autonomously on projects and tasks as needed.
*Ability to work collaboratively and cooperatively with diverse individuals and groups.
*Formally reports to and is supervised by the Registrar.
*Additional supervision is given by the Assistant Registrar.
*Additional direction and guidance are provided by the Director of Academic Advising for duties related to academic advising.
*Supervises student workers in collaboration with the Registrar and Assistant Registrar.
*Works within the boundaries of academic policies and procedures as established by the Juniata faculty and administration and in compliance with FERPA and other state and federal regulations.
