Job Description:


***This position is eligible for up to one day remote work per week.


BASIC FUNCTION:


The Sacramental and Liturgical Coordinator at the Mercy Center for Spiritual Life works as a part of the Mercy Center team to enhance and facilitate the liturgical life at Our Lady of Mercy Chapel. The Sacramental and Liturgical Coordinator is responsible for the many practical aspects of providing engaging and meaningful liturgical celebrations on campus. This role also provides guidance and administrative support to those seeking Catholic weddings, baptisms, and the RCIA sacramental program at Our Lady of Mercy Chapel. The Coordinator serves as a welcoming presence offering hospitality in the mercy tradition to all who come to the Mercy Center and most especially those seeking sacraments and liturgical services. The Coordinator also supervises two Wedding Sacristans.


ESSENTIAL DUTIES AND RESPONSIBILITIES:


Communication & Scheduling


Responsible for communication with:


  • Couples seeking to marry at the chapel
  • Families seeking baptism
  • Students seeking sacraments through RCIA
  • Informing persons of all required paperwork and working with them to schedule sacraments.
  • University platforms and social media which serve to advertise liturgical events.
  • Those requesting masses or prayer requests communicated to the University community

Responsible for scheduling:


  • Regular masses when in session
  • Weddings and baptisms
  • Special Liturgies: Baccalaureate, Festival of Lights, Alumni Weekend, etc...
  • Prayer services and vigils
  • Clergy (as required)

Regular attendance at Mercy Center Team meetings to maintain open communication and information regarding sacraments scheduled in the chapel and any liturgical needs of the University community.


Maintain an excellent working relationship with the Office of the Chancellor at the Diocese of Providence and with the pastor of Saint Mary's Church in Newport, where all sacraments performed at Our Lady of Mercy Chapel are recorded.


Develop strong working relationships within the University community


Administrative


  • Gather and maintain records for all seeking sacraments at Our Lady of Mercy Chapel. This will include informing marrying couples of the paperwork requirements to reserve the space and have their wedding here and keeping track of their process as they collect the paperwork.
  • Support the schedule of liturgies created in cooperation with the Mercy Center Team; requesting assistance from facilities or helping to arrange materials needed, in the chapel and in other locations on campus.
  • Maintain inventory of chapel and seasonal liturgical supplies and order as needed.
  • Facilitate special programs with Advancement or other offices which relate to the liturgical life of the university: All Souls November and the Luminaria celebration, etc...
  • Handling and accounting for payments and donations for the various uses of the chapel space.
  • Reserving space through the university scheduling system and working with the Office of University Events & Programs as needed.
  • Filing paperwork following sacraments to ensure they are recorded properly.

Supervisory


  • Train and schedule Wedding Sacristans in the role of assisting at both wedding rehearsals and wedding ceremonies in Our Lady of Mercy Chapel.
  • Conduct yearly performance reviews for Wedding Sacristans.

Ministerial


Present a safe and welcoming space for all who visit the Mercy Center and Our Lady of Mercy Chapel. Whether someone comes to ask about receiving the sacraments or with a pastoral need as in loss of a loved one be ready to direct them to the proper person; the University Chaplain, one of the campus ministers or their own parish priest.

Requirements:


Required:


A high school diploma or GED Excellent data processing skills and knowledge of Microsoft Office is required. Must possess strong oral and written communication and interpersonal skills, work with a positive work attitude, and a high regard for diplomacy, loyalty, confidentiality and punctuality. Must be able to work independently, but also as a member of a team. Requires occasional nights and weekends.


Preferred:


Knowledge of Catholic sacramental procedure.
