Description
This position will provide comprehensive administrative and personal support for ownership in coordination with primary Executive Assistants, and provide administrative support to members of the Executive Senior Management Team. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
This position is eligible to participate in our hybrid work from home program, which includes three days per week in the Taunton office. Must be available to arrive earlier/stay later as needed.
Key Accountabilities:
- Communicate daily with primary Executive Assistants to prepare and expedite key correspondence and priority matters
- Heavy email/inbox management - Monitor and carefully read all incoming and sent emails. Note impending deadlines, appointments, timely actions, etc., and flag them immediately. Work with ownership to compose responses to the emails
- Assist with coordination of Executive Level travel arrangements, flights, hotels, transportation, and dining reservations. Prepare itinerary/trip file and apprise other staff, as necessary
- Assist with calendar management. Prioritize inquiries and requests while troubleshooting conflicts; make judgments and recommendations to ensure smooth day-to-day engagements
- Arrange and assist with setting up catering events for luncheons, committee, board, and other meetings
- Assist with coordinating internal and external meetings and conference calls
- Complete a broad variety of administrative tasks that facilitate the owner's ability to effectively lead the organization, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; and completing expense and mileage reports.
- Work in our Corporate Office in Boston as needed to cover vacations
- Maintains office and break room supply inventory by checking stock to determine inventory levels; places and expedites orders for supplies and verifies receipt of supplies
- Run various errands for the office as needed (on and off-site)
- Miscellaneous projects and other duties as assigned
Requirements
Knowledge/Skills/Abilities:
- Excellent organizational skills and attention to detail and deadline-oriented
- Strong interpersonal skills
- Excellent verbal, written, communication, and presentation skills
- Ability to manage multiple projects and prioritize effectively
- Ability to analyze with strong decision-making and problem-solving skills
Education/Experience/Training:
- Bachelor's degree required
- 5+ years of work experience in an Executive Assistant role, supporting C-Suite Executives required
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)
- Demonstrated ability to handle privileged or confidential information with discretion
- Basic knowledge of Audio-Visual equipment to set up meetings
