The Department of Pediatrics, Division of Cardiology has an exciting opportunity for a Full-Time Senior Clinic Assistant to work on the UHealth Campus. The Senior Clinic Assistant works directly with patients and various healthcare facilities to obtain patient information for medical records in preparation for first clinic visits. The incumbent also assists with patient care, such as nursing activities and laboratory collections.

  • Submits signed consents to healthcare centers to initiate retrieval of medical records, x-rays, and other pertinent reports.
  • Tracks pending records to ensure delivery prior to clinic visits.
  • Communicates to the appropriate nurse coordinator if difficult or unable to obtain pertinent records.
  • Maintains accurate clinical records per hospital policy while preserving confidentiality of patient information.
  • Assembles, completes, and processes patients' charts.
  • Assists with ordering, receiving, distributing, sorting, and storing supplies.
  • Assists with clerical duties, to include receiving phone calls, sending faxes and emails, and scanning and copying documents.
  • Verify insurance, obtain necessary authorizations or referrals and any other information needed for appropriate patient billing. Ensure physician complete billing documentation foreach visit.
  • Responsible for communicating with patient both by phone or mail with physician instructions regarding follow up appointment and status of authorization for medication or procedure.
  • Assist with the scheduling of interventional Cath, EP, and Special Imaging in Radiology.
  • Process lab orders and prescription refills.
  • Assist with Physician Leave Requests submission for approvals and implementation of closure in schedules.
  • Submit expense reimbursements, Purchase orders and other requests in Workday.
  • Provide backup to other administrative staff.

MINIMUM QUALIFICATIONS
  • High school diploma or equivalent
  • Minimum 3 years of relevant experience, medical office or hospital setting preferred
  • Excellent customer service skills required.
  • Strong written and oral communication skills needed.
  • Knowledge of medical terminology preferred.
  • Able to handle multiple taks simultaneously.
